About the position

The Patient Services Coordinator plays a vital role in supporting the front-end operations of physician clinics and procedural units within Frederick Health. This position is responsible for scheduling patient visits, obtaining insurance authorizations, and maintaining medical records, all while ensuring a high level of customer service and adherence to the organization's mission and values.

Responsibilities

  • Greets and welcomes patients.
  • Orients new staff.
  • Promotes excellent customer service.
  • Exhibits courtesy, compassion, and respect to internal and external customers.
  • Keeps patients and family members informed of waiting times.
  • Ensures office environment is clean and organized.
  • Promotes teamwork and team spirit in the office.
  • Schedules patients for office visits accurately.
  • Verifies patient demographic information and insurance information.
  • Communicates scheduling conflicts to the office manager.
  • Checks patients in quickly and accurately using Meditech.
  • Schedules radiology, Surgery Center procedures, and specialty/subspecialty appointments.
  • Obtains relevant medical record information and compiles medical record for patients.
  • Obtains referrals and insurance authorizations as required.
  • Triages patient phone calls for physician, APP, Nurse Navigator, and practice manager.
  • Maintains physician and APP schedule.
  • Tracks patients who fail to keep an appointment and notifies physician.
  • Maintains positive working relationships with other practices' referral personnel.
  • Collaborates with nursing team to provide patients with a seamless experience.
  • Directs calls, takes accurate messages, or responds to calls using medical knowledge.
  • Ensures patient-related issues are tasked to the appropriate providers using Meditech's EHR.
  • Returns phone messages in a timely manner and follows up on all issues.
  • Receives department's mail, reviews content, prioritizes, and composes responses when appropriate.
  • Assists patients with simple billing questions or directs them to the billing office if necessary.
  • Scans patient forms/orders into the EHR.
  • Faxes orders to scheduling center.
  • Electronically retrieves and accurately files faxes/reports into patient's EHR.
  • Mails out new patient packets.
  • Orders office supplies and business cards.
  • Copies and stocks office materials.
  • May assist in rooming patients for provider.
  • Accepts other duties as assigned by director or physician.

Requirements

  • Knowledge of scheduling required.
  • Excellent written and verbal communication skills required.
  • Excellent customer service skills required.
  • Demonstrated excellent computer skills including Microsoft Office; experience with Meditech software is a plus.
  • Organized and able to multitask with attention to detail.
  • High School Diploma or equivalent preferred; two-year medical secretary or health information technology program preferred, or a minimum of one year medical office experience required.
