About the position

The Payroll & Benefits Coordinator at Don Schumacher Motorsports is a vital role responsible for ensuring that payroll functions are executed accurately and on time. This position serves as the primary point of contact for both internal employees and external partners regarding benefits administration. The coordinator will assist the Human Resources Manager in all aspects of payroll and benefits functions, ensuring compliance and efficiency in these critical areas. In this role, the coordinator will handle the administration of the timecard system, including making necessary corrections and approvals. They will also manage the Paid Time Off (PTO) program within the Human Resource Information System (HRIS), addressing unique scenarios such as jury duty, bereavement, and parental leave. It is essential for the coordinator to maintain accurate employee information in the HRIS and to complete payroll functions from start to finish in a timely manner. Additionally, they will ensure that external payroll derivatives, such as 401k funding and Health Savings Account (HSA) contributions, are properly managed. The coordinator will also be responsible for maintaining a comprehensive understanding of all company benefits and serving as the point of contact for day-to-day benefit administration. Building and maintaining positive relationships with insurance brokers, 401k representatives, and fiduciary partners is crucial to ensure that the company remains informed about relevant updates. The role also involves overseeing payroll and benefits-related software, safeguarding sensitive information, and ensuring proper storage of personnel files and payroll documents. The coordinator will collaborate with other HR staff to achieve departmental goals and foster a positive employee culture based on trust and credibility.

Responsibilities

  • Hands-on administration of timecard system including corrections, review and approval.
  • Administration of PTO program in HRIS system, including unique scenarios such as jury duty, bereavement, parental leave, etc.
  • Ensure employees' information and updates are accurately entered and maintained in HRIS system.
  • Complete start to finish payroll functions in a timely and accurate manner.
  • Ensure external payroll derivatives are in place (401k funding, HSA/FSA funding, garnishments, etc.).
  • Maintain benefits to meet employee enrollment information and any updates/changes that occur.
  • Serve as point of contact for day-to-day benefit administration.
  • Foster a positive relationship with insurance brokers, 401k representatives and fiduciary partners.
  • Oversee all software in relation to payroll and benefits.
  • Provide related payroll documents to accounting (401k AFR reports, payroll GL reports and 941s to CPA, etc.).
  • Safeguard all payroll and benefits information on behalf of current and terminated employees.
  • Ensure long term storage of applicable personnel files, payroll and benefit documents on DSM server or in paper format.
  • Work with other HR Department staff on shared tasks and work to achieve common department goals.
  • Foster a positive employee culture and establish effective working relationships with all staff.

Requirements

  • Proven experience recognizing and resolving problems, including sensitive and/or complex issues.
  • Experience managing multiple simultaneous work projects to meet timelines and commitments.
  • Strong respect for confidentiality, ethical values, and empathetic behaviors.
  • Strong people skills.
  • Highly proficient computer skills including MS Office and additional related software(s).
  • Post-secondary degree in Human Resources, Business Administration or related field.
  • 1 - 2 years experience in HR or Payroll and Benefits Role.
