About the position

The Payroll & Benefits Coordinator at ARGO is responsible for managing the day-to-day payroll and benefits activities for both Canada and the U.S. This role is crucial in ensuring that employees are compensated accurately and on time, which fosters trust and satisfaction within the organization. The coordinator will handle various tasks including processing new hires, terminations, employee status changes, tax changes, deductions, and direct deposits. They will also compute and process time sheet data, manage pay adjustments and special pays, and maintain records related to vacation, sick leave, and worker's compensation. Additionally, the coordinator will compile reports on base and premium pay, post entries to journals, prepare tax deposits and reports, generate checks, and produce special reports as needed. Approximately 60% of the coordinator's time will be dedicated to payroll-related activities, while the remaining 40% will focus on benefits-related tasks. The role requires efficient management of payroll and benefits processes to ensure timely and accurate compensation for employees. The expected performance results will be measured against the accuracy and timeliness of payroll transactions, adherence to compliance regulations, and the overall satisfaction of employees with their compensation and benefits. The coordinator will perform daily, quarterly, and annual payroll operations, manage workflow to ensure all payroll transactions are processed accurately and timely, and prepare and process pay for hourly and salary employees based on their respective pay frequencies. They will also validate files received from the field for processing, review payroll accuracy before final confirmation, and monitor taxation for state and local requirements. The role includes processing garnishment orders, reconciling outstanding checks, and ensuring accurate year-end reporting. Furthermore, the coordinator will be involved in onboarding and offboarding processes, maintaining employee benefits records, and ensuring compliance with related laws and regulations affecting ARGO's benefits.

Responsibilities

  • Perform daily, quarterly and annual payroll department operations.
  • Manage workflow to ensure all payroll transactions are processed accurately and timely.
  • Accurately prepare and process hourly and salary employees pay based on pay frequencies.
  • Load and validate files received from field for processing.
  • Review and validate payroll accuracy before releasing for final confirmation.
  • Validate new hire/rehire set up and taxation.
  • Understand proper taxation of earnings and deductions.
  • Monitor and validate taxation for state and locals as needed for accurate payroll.
  • Process garnishment orders timely to maintain compliance.
  • Validate and review Replicon time and attendance as needed to ensure accuracy in pay.
  • Perform thorough and timely reconciliation of outstanding checks to ensure accuracy and completeness of financial records.
  • Process accurate and timely year-end reporting when necessary (W-2, W-2c, etc.).
  • Develop and process ad hoc earning reporting as needed or requested.
  • Process off-cycle manual check as needed for missed pay and terminations according to state regulations.
  • Resolve payroll discrepancies by collecting and analyzing information.
  • Document and update payroll processes and procedures.
  • Prepare, package, and update professional benefit packet for all newly hired employees.
  • Enter new employees into appropriate systems (i.e., ADP, Replicon, etc.) and update status when employees have a change in status to include termination processing.
  • Enter payroll changes and review employee-initiated benefit enrollment requests and/or changes for processing.
  • Process termination of coverage with all carriers for exiting employees not relayed via data file transfer including overseeing and communicating with COBRA Administrator and verifying notifications are processed to employees and eligible dependents.
  • Ensure all benefit information on the vendor online and other database systems are current and accurate.
  • Maintain backup of employee benefit enrollment, personal changes, and termination information.
  • Maintain and file employee records.
  • Provide verification of employment for current and former employees.

Requirements

  • Minimum Associate's degree required
  • 2+ years of payroll and benefits support experience
  • Familiar with government benefit laws and regulations
  • Intermediate User of Microsoft products especially Word and Excel
  • Working knowledge of ADP Payroll required
  • Effective verbal and listening communication skills
  • Experience offering customer service for an onsite workforce
