About the position

The Payroll & Benefits Coordinator at Cascadia College is responsible for overseeing the benefits function related to payroll processing. This role involves ensuring the accuracy and compliance of benefits data, assisting with employee benefits orientation, and providing support during open enrollment. The coordinator will work closely with the Human Resources team to promote equity and inclusion within the college community, while also managing various payroll and benefits-related tasks.

Responsibilities

  • Review and process benefit documents and deduction forms.
  • Consult on payroll and benefits problems including changes and deductions.
  • Review, analyze, verify, and correct benefit data in CtcLink (PeopleSoft) and the Health Care Authority site (Benefits 24/7).
  • Interpret and administer rules and regulations for benefits and retirement eligibility for all eligible employee classes.
  • Ensure compliance with all federal and state laws relating to benefits.
  • Assist HR with benefits orientation and provide information regarding various benefits to employees.
  • Assist HR with annual Open Enrollment, including consultation with employees and coordination with payroll.
  • Track and monitor benefit eligibility for part-time employees and faculty.
  • Reconcile insurance billing, retirement reports, and other required reports.
  • Respond to inquiries regarding benefit rules, policies, and regulations.
  • Assist the Payroll team with timely processing of benefit information and payroll confirms.
  • Create, maintain, and distribute instructions on payroll and benefit procedures to employees and provide training.
  • Prepare and maintain individual employee benefit files.
  • Complete employer calculations of supplemental retirement benefits and coordinate with the State Board of Community and Technical Colleges for eligibility.
  • Serve as backup for Payroll Coordinator and perform those duties as needed.

Requirements

  • High school diploma or equivalent.
  • 4 years of fiscal or payroll/benefits experience or equivalent combination of payroll/benefits experience and college-level courses.
  • Knowledge of payroll/benefit laws, rules, and regulations.
  • Demonstrated commitment to and interest in diversity, equity, and inclusion.

Nice-to-haves

  • Associate degree or higher level of education.
  • Demonstrated experience multi-tasking in a fast-paced environment.
  • Knowledge of PeopleSoft and/or ctcLink.
  • Proficiency in using Microsoft Excel for analysis.
  • Experience working in a higher education setting.
