About the position

The Payroll Office Clerk at Memphis Light, Gas and Water Division provides essential administrative support to enhance the productivity of the payroll department. This role involves managing communications, organizing documents, and ensuring the confidentiality of sensitive information while assisting with payroll processes and reporting.

Responsibilities

  • Provide administrative support to staff members to maximize their time and productivity.
  • Answer the department's phone calls and emails.
  • Welcome office visitors, both external and internal.
  • Organize and submit the department's documents for auditing purposes.
  • Maintain the department's filing system.
  • Prepare documents for scanning and indexing.
  • Perform data entry tasks.
  • Open, sort, and distribute mail.
  • Maintain the department's calendar.
  • Compile and distribute reports to various departments.
  • Monitor, read, and analyze the department's email and mail to determine their significance and plan of distribution.
  • Distribute checks to third party vendors and both active and inactive employees.
  • Prepare and distribute payroll reports to other departments.
  • Research and investigate payroll discrepancies and concerns of customers.
  • Make routine mathematical calculations for PTO inquiries.
  • Collaborate with the Accounting Department for submitting payroll documents for auditing purposes.
  • Take and prepare minutes for future office meetings.
  • Update employees' mailing information for their Federal W-2 form.
  • Compile documents for the Internal Auditor.
  • Perform other duties as needed.

Requirements

  • Must have a valid driver's license from state of residence.
  • High School Diploma or General Education Development (G.E.D.) is required.
  • 2-3 years of Office Administration experience is required, preferably in a Payroll environment.
