About the position

As a Portfolio Manager at FirstService Residential, you will play a pivotal role in providing leadership and management direction on behalf of the Board of Directors and the communities we serve. This position is responsible for overseeing the entire operation of the communities, ensuring that all activities align with the mission and vision set forth by the Boards. You will act as a single point of contact within the communities, enhancing communication and ensuring effective oversight of staff and operations. Your primary duties will include managing day-to-day operations, ensuring legal compliance, and providing overall oversight of the associations and their staff. In this role, you will develop both short-term and long-range plans, making recommendations for goals and action plans to achieve the objectives set by the Board. You will lead the annual goal-setting process, review organizational structures, and make recommendations for any necessary changes. Your responsibilities will also involve partnering with public, private, and volunteer organizations to provide community services, supporting the activities of various Board sub-committees, and ensuring that the needs of homeowners are addressed. You will be tasked with creating and implementing the annual working budget, monitoring the financial position of the association, and providing leadership during Board meetings. Additionally, you will recruit, hire, train, and supervise community staff, work closely with local emergency organizations, and identify opportunities for improving service delivery methods. Your role will require you to stay abreast of new trends in community management and programming, ensuring that you are visible throughout the common areas and facilities. You will also be responsible for conducting building inspections, ensuring compliance with all governing documents, and protecting the client's funds and assets against foreseeable contingencies.

Responsibilities

  • Provide leadership and direction in the development of short-term and long-range plans.
  • Develop recommendations for goals and action plans to achieve Board objectives.
  • Lead annual goal setting and review organization structure, job descriptions, and functions.
  • Partner with public, private, and volunteer organizations to provide community services when necessary.
  • Support the activities of various Board sub-committees and provide recommendations on revisions to community governing documents.
  • Ensure seamless communication between the Board of Directors and committees.
  • Create and implement the annual working budget, subject to Board approval.
  • Monitor and report on the monthly financial position of the association.
  • Provide leadership during Board meetings, including agenda support and written/oral reports.
  • Recruit, hire, train, and supervise all community staff in accordance with the management plan.
  • Work closely with local emergency organizations to maintain established emergency and community evacuation plans.
  • Identify, develop, and implement programs to meet community needs and assess opportunities for service delivery improvements.
  • Attend and participate in professional group meetings to stay abreast of new trends in community management.

Requirements

  • Bachelor's Degree in Business or related field from an accredited college or university.
  • Three years' experience in Property Operations, Hospitality, or Construction, or equivalent combination of education and experience.
  • A minimum of seven years of successful community management experience or equivalent professional experience in a related field.
  • At least four years of experience responsible for a staff with a variety of expertise, background, and job assignments.
  • Management experience in a small or medium-sized organization preferred.
  • Understanding of physical building management, Condominium law, financial planning, and law affecting property management.
  • Valid Driver's License and State Mandated Vehicle Insurance.
  • Commitment to obtain CPM, PCAM, ARM, or AMS designations or equivalent.
