About the position

Steward Health Care System is seeking a Clinical Practice Manager to oversee the operational aspects of our medical practice located at 13695 Us Highway 1, Sebastian, FL. This role is pivotal in ensuring that our practice runs smoothly and efficiently, providing high-quality care to our patients. The Clinical Practice Manager will work closely with both medical and nursing staff, acting as a vital link between physicians, staff, and the administration of Steward Medical Group. This position requires a proactive approach to managing the practice's operations, including staff supervision, budget management, and patient relations. The Clinical Practice Manager will be responsible for directly supervising all non-physician staff within the practice. This includes conducting interviews, hiring new staff, training, performance evaluations, and implementing corrective actions when necessary. The manager will also coordinate the re-employment of staff to ensure adequate coverage and will step in to cover nonclinical positions when needed. Additionally, the manager will assist in preparing and managing the operating budget, investigating discrepancies in income and expenses, and ensuring that cost containment guidelines are met. Effective communication is essential in this role, as the Clinical Practice Manager will facilitate staff training in customer service techniques and resolve patient complaints. The manager will also liaise with the Central Billing office to maximize revenue and ensure accurate billing processes. Training staff on the Athena Billing system and managing the day-to-day facilities operations are also key responsibilities. The Clinical Practice Manager will ensure compliance with all policies and procedures of Steward Medical Group and participate in the development of departmental policies. This position is integral to maintaining a safe and efficient work environment, ensuring that the practice meets the highest standards of patient care and operational excellence.

Responsibilities

  • Directly supervise all non-physician staff within the Practice.
  • Work with Human Resources for interviewing, hiring, training, performance evaluations, and corrective actions.
  • Manage re-employment of staff and arrange for emergency float coverage as required.
  • Assist in preparing and managing the operating budget for the practice.
  • Investigate discrepancies in monthly income and expenses and report to the Practice Administrator/Director.
  • Ensure cost containment guidelines are met for the individual practice.
  • Provide information and assistance to patients to ensure effective patient relations.
  • Investigate and proactively resolve patient complaints and concerns.
  • Facilitate staff training in new customer service techniques and processes.
  • Liaise with the Central Billing office to maximize revenue and ensure accurate data collections.
  • Research specific ICD-9 and CPT codes applicable to the Practice.
  • Train physicians and staff in Athena Billing and Steward Medical Group policies and procedures.
  • Manage staff utilization of the Athena system for efficient billing.
  • Oversee day-to-day facilities management for the Practice.
  • Authorize procurement of special order medical/surgical supplies and capital equipment.
  • Assess needs for the annual capital and expense report in collaboration with clinical staff.
  • Ensure proper invoicing and tracking of receivables and payments to vendors.
  • Train staff on existing and new programs or upgrades in a timely fashion.
  • Maintain an optimal physical environment for the office and report unsafe conditions.
  • Participate in development and evaluation of departmental policies and procedures.

Requirements

  • Graduate of an accredited nursing program.
  • Bachelor's degree or equivalent, preferred.
  • Two to five years of practice management experience in a private physician's office required.
  • Current Florida nursing license required.
  • Supervisory experience required.
  • Billing and financial management experience required.
  • Proficient in Microsoft Office, IDX, and Athena Health.
  • Strong interpersonal communication, managerial, and organizational skills required.
  • In-depth knowledge of private practice systems, including medical practice operations and supervision.
  • Experience with an electronic health record within the medical office preferred.
  • Knowledge of insurance coverage systems, including co-payments, referrals, HMO, PPO, and capitated products required.

  • Cardiology experience preferred.
