About the position

This is a part-time hourly pool. Applications are collected for possible immediate, or future college vacancies. This type of employment is temporary and often sporadic. You may only be contacted if a review of your application results in the intent to pursue your candidacy. This position will work in the President's office to provide back -up support to the administrative staff in this office. The secretary will have interactions with students, internal customers, board members, and community members. Responsibilities

  • Performs secretarial and receptionist duties to include back-up support to Executive Coordinator and Executive Assistants
  • Composes, drafts, and proofreads documents as needed
  • Manage incoming phone calls and direct to the appropriate department
  • Schedules appointments, maintains calendars as needed
  • Uses FaceBook and Instagram to post President's events
  • Work with Google applications: create documents in Google sheets and Google docs
  • Provides customer service to employees, students, board members, and community members
  • Establishes and maintains an electronic filing system
  • Schedules, coordinates, and provides support for a variety of meetings and events
  • Maintains, compiles, and coordinates data for reports
  • Assists with board meeting preparation
  • Orders office supplies
  • Maintains high level of confidentiality

Requirements

  • High school diploma or GED
  • Two years of progressively responsible office support/reception experience (related college course work may substitute for up to one year of required experience)
  • Experience using Microsoft Office Suite and Google Docs

Nice-to-haves

  • Three years of clerical, reception, secretarial experience or related education
  • Ability to type/keyboard
  • Bi-lingual/bi-cultural
  • Experience working in an environment serving diverse customers
  • Experience using Google Suite
  • Experience providing excellent customer service
  • Bilingual English/Spanish
