About The Position

The Project Aide will support the Central Office Processing Team within the Bureau of HIV/AIDS Surveillance Program. This role focuses on data entry, verification of information, and assisting with case reviews in the HIV/AIDS surveillance system. The incumbent will also participate in a bureau-wide scanning project and provide general office support, including administrative tasks and generating basic spreadsheets and charts.

Requirements

  • Associate's degree in a related field or higher; OR two years of general office, secretarial, administrative experience and/or project assistant experience.
  • Experience working with confidential, health-related data.
  • Strong background in data entry including reviewing and identifying data entry errors.
  • Experience organizing, sorting, and merging health data.
  • Proficiency in Microsoft Office Suite (Word, Access, Excel, Teams, PowerPoint) and Adobe Acrobat.

Responsibilities

  • Provide data entry and verification of information reported to the Surveillance System.
  • Conduct daily case reviews to verify incoming documents against existing cases.
  • Assist in flagging cases that require follow-up if no match is found.
  • Receive training on reviewing cases with previous history of separation or merging in the registry.
  • Participate in the bureau-wide scanning project to reduce stored confidential case reports.
  • Create scanning logs and verify scanned documents for clarity.
  • Handle storage and shredding of scanned documents per protocols.
  • Retrieve, collect, sort, distribute, and track incoming mail and packages.
  • Provide general office support such as filing, photocopying, and phone coverage.
  • Assist with generating basic spreadsheets, graphs, and charts using various software.
