About the position

The Project Execution Coordinator at Innomotics is responsible for organizing, supporting, and leading various tasks within the Project Execution (PE) team. This role involves facilitating customer visits, coordinating witness tests, onboarding new employees, and managing administrative tasks to ensure smooth operations within the team. The position is hybrid, requiring onsite work 1-3 days a week in New Kensington, PA.

Responsibilities

  • Facilitate Customer Visits on behalf of the PE Organization at the New Kensington Factory.
  • Coordinate Customer Witness Tests with PE Customers.
  • Lead witness tests from an administrative perspective and document punch list items associated with PE content.
  • Onboard new employees using appropriate Innomotics Tools.
  • Efficiently handle calendars for key leaders, troubleshoot conflicts, and provide seamless day-to-day operations support.
  • Act as a liaison and provide support to meetings, including arranging logistics, scheduling, drafting agendas, and recording minutes.
  • Lead all aspects of the organization's office services, including supplies and developing office policies for improved workflow.
  • Handle purchase orders, invoices, and support in on/offboarding of new employees.
  • Support remote Project Managers with outbound deliveries from New Kensington.
  • Create or look up Logistic numbers for Order Controller.
  • Run Damex screening for new customer setup when needed.
  • Update Salesforce with Order information.

Requirements

  • Bachelors or Associates Degree in a relevant subject area such as Business, Communications, or Marketing is preferred; HS/GED or equivalent experience is required.
  • 2-3 years of Project Management or Coordination Experience.
  • SAP experience required.
  • Proficient in Microsoft Office tools (Excel, PowerPoint, Word).
  • Validated ability to expertly lead customer communications.
  • Ability to work in a fast-paced environment.
  • Excellent time management skills.
  • Excellent client-facing and internal presentation skills.
  • Proven interpersonal skills including attention to detail, multi-tasking, time management, and problem-solving skills.
  • Proven track record of working closely with various roles such as field service, engineering, and product management.
