About The Position

Reporting directly to the HR Administrative Services Director, responsible for supporting all areas of Human Resources. Provides high level customer service at front reception area for walk-in employees and visitors. Prepares reports, processes invoices for payment, establishes purchase orders, coordinates office needs and other support tasks as assigned.

Requirements

  • Associate degree in a related field and three (3) years of Human Resources or administrative office experience; OR an equivalent combination of education and experience
  • Two (2) years of customer service experience
  • Working knowledge of Microsoft Office Suite

Nice To Haves

  • Professional in Human Resources (PHR) OR Society for Human Resource Management - Certified Professional (SHRM-CP) certification
  • Financial processing and/or reporting experience
  • Intermediate/advanced knowledge of Microsoft Excel and report presentations
  • Purchasing experience
  • Prior experience with I-9 Form completion

Responsibilities

  • Responsible for multi-line incoming calls and voicemails received on the general office number
  • Supports employee onboarding processes, including I-9 verification/completion
  • Serves as informational resource related to HR functions and directs individuals to appropriate internal or external resource
  • Provides overall office management including maintaining office supply inventory, making purchases, maintenance reporting and follow-up, and equipment repair reporting and tracking
  • Processes and provides shipment returns to appropriate vendors
  • Processes invoices for payment including purchasing card reconciliation; route for approvals as needed
  • Performs monthly budget tracking reporting for management reference and supports line-item transfer process
  • Performs financial and administrative support for full purchasing process, including but not limited to requisitions, contracts, copier, purchase orders and vendor coordination; including issue resolution; stays up-to-date on all purchasing policies and procedures and serves as subject matter expert and contact
  • Schedules back-up front desk coverage for absences
  • Coordinates asset inventory audit/asset disposition for HR/Benefits
  • Maintains Front Desk process and procedures manual, including all new and revised processes so that it can be used for reference when absent
  • Performs Open Enrollment Reminder Postcard mailout
  • Provides all necessary aspects of incoming and outgoing mail including postage, routing, and coordination with other entities
  • Ensures office is opened on time and sanitized
  • Maintains phone tree and virtual receptionist system
  • Prepares, sends for signature and distributes service award certificates in a timely manner
  • Maintains meeting rooms calendar
  • Reviews and updates lobby bulletin board, in coordination with Workforce Services
  • Supports special projects within the HR Department
  • Attends all meetings and trainings, as required
