About the position

The Real Estate Administrative Associate at CommonBond Communities provides essential administrative support for the Real Estate business line and the central office front desk. This role involves planning, coordinating, and implementing administrative procedures and systems to ensure effective operations and collaboration within the organization.

Responsibilities

  • Develop and maintain strong internal relationships with CommonBond colleagues.
  • Promote a collaborative and positive approach among administrative staff.
  • Develop administrative policies, systems, and reports for transparency and accountability.
  • Maintain professional relationships with lenders and investors.
  • Prepare and submit required reports to investors and lenders.
  • Establish automatic report submission processes.
  • Coordinate state and federal platform operations.
  • Maintain accurate portfolio data in Voyager.
  • Manage utility allowance processes.
  • Ensure proper system administration for entity maintenance.
  • Maintain updated project pipeline and departmental status reports.
  • Create a vendor/consultant contact database and process vendor payment requests.
  • Provide organizational and administrative assistance such as meeting scheduling and travel arrangements.
  • Coordinate audit meetings and maintain an audit database in Voyageur.
  • Organize and maintain Real Estate department policies and procedures files.
  • Implement and maintain filing systems.
  • Assist with gathering pre-development data and conducting market research.
  • Prepare applications for funding and submit required reports.
  • Obtain required closing documentation as requested.
  • Prepare draw requests for development projects and track expenses.
  • Track project application deadlines and assist with neighborhood notifications.
  • Assist with temporary relocation for rehabilitation projects and miscellaneous project closings.
  • Respond to investor questions as appropriate and serve as EIV Coordinator.

Requirements

  • Minimum three years of progressive administrative experience in a fast-paced office.
  • Computer proficiency in software packages such as Yardi and Microsoft Office.
  • Demonstrated supervisory experience.
  • Ability to set work priorities and work independently with minimal supervision.
  • Strong organizational skills to manage multiple tasks simultaneously.
  • Excellent oral and written communication skills for research and report generation.
  • Strong customer service skills to respond to inquiries from stakeholders.
  • Professional attitude and work habits with discretion for confidential information.
  • Access to reliable transportation and flexibility to work occasional early mornings or evenings.
  • Ability to work collaboratively in a team environment.
