About the position

We are looking for a professional, detail-oriented individual to fill our open position as a receptionist/legal assistant. This role is crucial in ensuring that our office runs smoothly and efficiently while providing excellent service to our clients. The ideal candidate will be responsible for welcoming and assisting clients in a friendly and professional demeanor, ensuring that they feel valued and supported from the moment they enter our office. In this position, you will be tasked with answering a multi-line phone system, fielding and transferring calls as necessary. You will also be responsible for drafting and sending invoices, as well as past due reminders, which requires a keen attention to detail and strong writing skills. Processing payments and creating and maintaining client files will be part of your daily responsibilities. This includes scanning documents, filing pleadings in both physical and electronic folders, and closing files when necessary. Additionally, you will assist attorneys by drafting pleadings for their review and managing various administrative tasks. This includes making phone calls to clients, companies, and other firms, as well as managing conference rooms and scheduling appointments, consultations, phone calls, and Zoom meetings. Your organizational skills will be essential in keeping the office running smoothly and ensuring that all tasks are completed in a timely manner.

Responsibilities

Requirements

  • High school diploma or GED.
  • Strong writing skills.
  • Experience in litigation and front desk operations.
  • Proofreading skills.
  • Paralegal experience is preferred.
