About the position

The Financial Specialist I for Recreation and Sport Operations at the University of Wisconsin - Eau Claire plays a crucial role in managing the fiscal responsibilities and administrative operations of the department. Reporting to the Director of Recreation and Sport Operations, this position supports various areas including Fitness and Wellbeing, Competitive Sports, Outdoor Recreation, and Sport Operations. The specialist is responsible for overseeing budget management, purchasing functions, and human resources tasks, ensuring compliance with university policies and providing excellent customer service.

Responsibilities

  • Data entry of daily cash revenues and memberships using the WSDOM Accounting Systems Application.
  • Reconcile credit and debit card revenue, audit change funds, and deposit cash and checks from various sources.
  • Verify campus cash purchases and process refunds as necessary.
  • Audit and reconcile all Intramural entry fee deposits and ensure proper coding in Fusion for sales.
  • Chargeback, audit, invoice, and deposit contracted user fees from various clients.
  • Work with the UWEC Internal Auditor to ensure compliance with cash handling procedures.
  • Prepare expense/revenue requests and reconcile Recreation Foundation Advancement Funds.
  • Assist with program budgets, including development, monitoring, and reporting.
  • Reconcile and review auxiliary budget reports for the Director of Recreation and Sport Operations.
  • Initiate inter-department budget transfers and maintain tracking processes for chargebacks.
  • Participate in Recreation Budget Presentations, which may require evening hours.
  • Supervise and perform all purchasing functions and procedures, including revenue analysis for budgets.
  • Establish departmental purchasing and travel procurement card procedures and train staff on their use.
  • Project, develop, coordinate, and pre-audit all purchases related to capital equipment acquisitions.
  • Manage travel budget functions and procedures for Recreation students and staff, ensuring compliance with regulations.
  • Serve as a Shop UW+ Requestor, approving orders and submitting purchase orders.
  • Attend staff meetings and assist within the unit as needed.
  • Oversee the hiring process for student employees and track their onboarding.
  • Manage timesheets for student staff and process pay raises annually.
  • Prepare necessary paperwork for Recreation personnel and ensure compliance with Affirmative Action policies.
  • Audit and prepare budget reports for the Club Sports Program and function as a voting representative on the Club Sports Budget Advisory Board.

Requirements

  • Associate or bachelor's degree in accounting, finance, office management, or related field.
  • 2 years of experience in accounting, finance, office management, or a related field.
  • Advanced knowledge of Microsoft Suite applications.
  • Strong organizational and time management skills.
  • Excellent oral and written communication skills.
  • Ability to multi-task and demonstrate outstanding customer service.
