The Registrar/Receptionist at Winfield Park District plays a crucial role in providing excellent customer service and administrative support within the organization. This part-time position requires a friendly and professional individual who can effectively manage front desk operations and assist patrons with their inquiries. The ideal candidate will be responsible for greeting visitors, checking membership passes, and providing detailed information about various programs offered by the park district. The role also involves performing daily office operations, including opening and closing procedures, processing facility rental requests, and handling registration functions such as enrollment, transfers, and wait-lists. In addition to these responsibilities, the Registrar/Receptionist will be expected to maintain a clean and organized front counter area, ensuring that all materials are readily available for patrons. The position requires a strong ability to communicate effectively, both orally and in writing, as well as proficiency in typing and computer skills. The successful candidate will also be familiar with medical terminology and possess organizational skills to manage multiple tasks efficiently. The work schedule for this position is Monday through Wednesday from 8:45 AM to 5:00 PM, with occasional Saturday hours from 8:45 AM to 12:00 PM. The Registrar/Receptionist will also be required to promote park district events and programs, work cooperatively with colleagues, and adhere to district policies and safety procedures. Responsibilities

  • Serve as receptionist, greet patrons, check membership passes, answer questions, and provide specific program information.
  • Perform daily office operations such as opening and closing procedures, process facility rental request forms.
  • Perform necessary registration functions including enrollment, transfers, wait-lists, printing of reports, and data entry.
  • Review daily facility activities and upcoming events, be familiar with current programs.
  • Maintain professional, diplomatic, and friendly relationship with customers.
  • Maintain the cleanliness and organization of the front counter.
  • Perform miscellaneous tasks as needed by superiors such as the assembly of packets, copying, class calls, mailings, and other duties as assigned.
  • Load paper stock, load printers, registers, etc.

Requirements

  • Must have a minimum of a high school diploma or equivalent.
  • Good typing skills and computer skills.
  • Excellent oral and written communication skills.
  • Bilingual ability is preferred.
  • Customer service experience is required.
  • Medical office experience is a plus.
  • Organizational skills are necessary.
  • Clerical experience is beneficial.
  • Phone etiquette is important.
  • Familiarity with medical terminology is preferred.
