About the position

The Scheduling position at Bridgeway Diagnostic involves managing inbound calls, scheduling patient appointments, and ensuring efficient communication with patients and medical staff. The role requires maintaining clinical knowledge to assist patients effectively and performing various administrative tasks to support the office's operations.

Responsibilities

  • Answer telephone by appropriately identifying self and using professional telephone etiquette.
  • Schedule patient appointments to coordinate with other patient examinations and minimize scheduling errors.
  • Obtain all pertinent patient demographic information when scheduling appointments.
  • Confirm patient appointments and inform patients of the estimated collect amount, if any.
  • Maintain appropriate clinical knowledge about exams and procedures to ensure proper handling of scheduling and other job functions.
  • Explain exam preparation to patients in understandable terms or defer additional questions to technical staff.
  • Reschedule patient appointments as needed.
  • Document patient notes appropriately in the RIS.
  • Contact ordering physician to obtain orders and clinical fax if needed.
  • Fax reports when requested.
  • Print reports to email.
  • Email patient final reports if consent form is signed.
  • Check emails frequently and send emails when needed.
  • Assist patients with Care Credit applications when needed.
  • Scan in approval or declined applications in patients' charts.
  • Log Care Credit applications and add a copy to the Care Credit notebook.
  • Order patients' exams in RIS when receiving a phone order from Dr. Obiekwe's office.
  • Fill out order form with all of the patient's information, what exam is needed, diagnosis, and who you spoke with.
  • Perform other general office tasks such as laundry and maintenance of office supplies and equipment.
  • Clean and straighten up the reception area, lobby, and bathrooms.
  • Confirm assigned modality 2 days in advance and explain exam preparation.
  • Make suggestions to supervisor regarding processes to improve efficiency and work with management to enhance areas as needed.
  • Keep laundry emptied in exam rooms, bathrooms stocked, sanitized, and cleaned, including toilet, sink, floor, and mirror. Keep breakroom counters, table, and refrigerator clean. Take trash out regularly, including the large trashcan outside.

  • Proficiency in using RIS for documentation and scheduling tasks.
