The secretary will maintain school files and records, including daily student attendance and teacher attendance records. Additionally, the position involves processing purchase requisitions, managing petty cash, and informing staff about school procedures and activities. The School Secretary will also operate various office machines, including personal computers and calculators, and will serve as a receptionist, greeting visitors and providing information in both languages. The role may require arranging field trips and supervising clerical staff in their assigned tasks. Responsibilities

  • Type correspondence, reports, and evaluations in Spanish and English.
  • Compose and type routine letters of inquiry or response in both languages.
  • Assist in the preparation of reports, bulletins, and other materials by gathering information and typing the finished product.
  • Supervise the maintenance of various school files and records, including daily student attendance and final grades.
  • Keep records of teacher attendance, leaves of absences, sick and personal days.
  • Prepare, process, and authorize purchase requisitions and vouchers.
  • Issue monies from petty cash and maintain records.
  • Inform professional and civil service staff of office and school procedures, programs, and activities.
  • Operate a variety of office machines and equipment such as personal computers, calculators, and photocopiers.
  • Answer the telephone, obtain and give out routine information in English and Spanish, refer calls, or take messages.
  • Act as an English and Spanish-speaking receptionist by greeting visitors and directing them appropriately.
  • Assist in the arrangements for field trips, including calls and letters of inquiry or confirmation, and release forms.
  • Supervise clerical staff in the performance of assigned work.

Requirements

  • Graduation from high school or possession of an equivalency diploma.
  • Associate's degree in Secretarial Science plus one year of office clerical or secretarial experience; OR an Associate's degree plus two years of experience; OR three years of equivalent experience; OR an equivalent combination of education and experience.
  • Good knowledge of office terminology, procedures, and equipment.
  • Good knowledge of English and Spanish grammar and composition.
  • Ability to operate word processing and data entry equipment at a satisfactory rate of speed.
  • Ability to communicate effectively in English and Spanish both orally and in writing.
  • Ability to maintain confidentiality of records.
