About the position

The Secretary position at Hening Elementary School for the 2024-25 academic year involves providing essential secretarial support to the school office. This role requires performing a variety of moderately complex tasks within established procedures and standard practices, all under general supervision. The position necessitates extensive coordination with various stakeholders, including students, staff, and parents, and may involve dealing with sensitive issues that require tact and discretion. Accuracy and sound judgment are critical in this role, as the secretary will handle confidential information and interact with individuals both within and outside the organization. Key responsibilities include registering and processing all required paperwork for new students, as well as managing the withdrawal process for students leaving the school system. The secretary will maintain cumulative and confidential records for all students, screen visitors, telephone calls, and incoming mail, and personally respond to inquiries that do not require the supervisor's attention. Additionally, the role involves typing, assembling, and disseminating lengthy reports, handbooks, and correspondence, acting as an information specialist regarding school operations and policies. The secretary will also handle accounting duties related to the school lunch program, time, attendance, and purchasing, prepare reports, and furnish information requested from within and outside the organization. Other clerical and routine tasks are required to ensure the efficient operation of the school office, and the secretary may be assigned additional duties as necessary. The position demands a working knowledge of office practices and procedures, business English, and mathematics, along with strong typing skills and proficiency in operating personal computers and office equipment.

Responsibilities

  • Registers and processes all required paperwork for new students.

  • Maintains good rapport with students, staff, and parents.
  • Handles accounting duties for the school lunch program, time, attendance, and purchasing.
  • Prepares reports and furnishes information requested from within and outside the organization.
  • Performs clerical and routine work required to ensure the efficient operation of the school office.
  • Performs other duties as assigned.

Requirements

  • Bilingual in Spanish and English strongly preferred.
  • Working knowledge of office practices and procedures.
  • Familiarity with the school or department's programs.
  • Proficiency in business English and mathematics.
  • Demonstrated ability to perform a variety of secretarial duties for one or more professionals.
  • Effective oral and written communication skills.
  • Ability to exercise judgment and work with all levels of the school or department.

Nice-to-haves

  • Experience with data collection and report preparation under supervision.
  • Familiarity with reprographic, telephone switchboard, fax, and general office equipment.
