About the position

Blue Rose Consulting Group is seeking a Full-Time Secretary III to provide comprehensive program support. The ideal candidate will perform a variety of administrative record-keeping and reporting tasks supporting Front Office Real Estate Division programs and Project Management Office in Design & Construction. This role is located at the JCK Federal Building in Chicago and is open to US Citizens ONLY. In this role, you will be responsible for performing various record-keeping, reporting, and informational duties, compiling, maintaining, and updating data, lists, and reports. You will check and verify data by direct comparison with source documents, identifying discrepancies, and gather, acquire, and develop resource materials and other information to support division programs. Additionally, you will maintain bulletin boards, select and file materials for future reference, and record, sort, assemble, and file information on specific projects, facilities, contracts, and financial documentation. You will work closely with GSA Management, Leasing Specialists, Lease Contracting Officers, and Planning Managers. Your responsibilities will include preparing, gathering, and organizing all required documentation for successful assembly and completion of lease files and reports, monitoring, coordinating, and maintaining various records, and extracting information to enter data into databases. You will analyze data for trends or patterns and generate management reports. Responding to data input and verification requests, ensuring accuracy and timely updates, and assisting users with software, hardware, and automation issues will also be part of your duties. You will use computer software to produce, store, and retrieve documents, including spreadsheets, databases, and graphics, and receive and direct incoming calls, recording and distributing phone messages. Maintaining a Desk Reference Guide for the position and participating in projects related to data management and integrity, including internal audits and resolving System for Award Management (SAM) issues, will be essential. Other miscellaneous duties such as maintaining time and attendance reports and performing other job-related duties as assigned will also be required.

Responsibilities

Requirements

  • Advanced knowledge and proficiency in Microsoft Office products (Excel, Word, Access, PowerPoint).
  • Effective communication skills (both written and verbal).

  • Minimum of two years of experience in an administrative capacity, preferably with a Government Agency or Contractor.
  • Background suitability clearance (HSPD-12) by GSA prior to work and maintain this clearance.

  • Proficiency in additional software like Adobe and Google Suite (Mail, Calendar, Drive, Sheets, Docs).
  • Capability to become proficient in various GSA computer programs such as eRETA.
  • Ability to operate routine office equipment (scanners, copy machines, fax machines).

Benefits

  • An hourly rate representing a total annual salary of approximately $51,000 - $54,000 plus an additional benefits allowance, for a total package of approximately $60,000+ annually.
