The role involves reviewing and screening incoming correspondence and communications directed to the supervisor, referring specific communications to appropriate staff members for data gathering or responses. The Secretary II will also plan follow-up activities to ensure timelines are met and prepare correspondence to school administrators. Additionally, the position requires responding to inquiries from office visitors and telephone contacts, thus acting as a key point of contact for the office. A significant part of the job includes preparing input data for a computerized record management system, utilizing output reports for office operations, and maintaining thorough knowledge of all operational procedures. The Secretary II will compose routine correspondence, devise forms for data compilation, and coordinate the posting of information to records and files that hold legal, administrative, or confidential significance. Responsibilities

  • Serve as personal secretary to full-time administrator and function as an office management aide
  • Review and screen incoming correspondence and communications routed to supervisor
  • Refer specific communications or correspondence to appropriate staff members for the gathering of data or for a response
  • Plan follow-up activities to ensure that timelines are met; prepare correspondence to school administrators
  • Serve as an administrative aide by receiving and responding to inquiries from either office visitors or from telephone contacts
  • Prepare input data for a computerized record management, storage and retrieval system, and utilize output reports in office operational functions
  • Have thorough knowledge of all operational procedures and compose routine correspondence concerning their operations
  • Devise forms to compile and extract data, and determine report formatting
  • Coordinate posting of information and data to records and files which have legal, administrative or confidential significance
  • Perform specialized and technical clerical work involving an analysis of a variety of materials
  • Thorough familiarity with policies, practices, terminology and applicable legal provision; referring only unusual matters to supervisors
  • Investigate, search and locate sources of information; organize, coordinate and lead personnel
  • Establish and maintain alphabetical, numerical, subject matter and other classification files
  • Type from rough drafts and notes
  • Prepare indices and cross reference files concerning a variety of files and records
  • Initiate and receive a variety of telephone and personal contacts from District employees and the public concerning the technical and responsible functions of the work unit

Requirements

  • Two years of responsible or specialized clerical experience, preferably in an educational organization
  • Course work or training in typing, filing, and office practices
  • Equivalent to the completion of the twelfth grade, supplemented by training or course work in typing, word processing, office management, data management, storage and retrieval systems, or other related areas
