About the position

The Office of Global Food Security (E/GFS) of the Department of State (DoS) EB-ENR-EX is seeking a Secretary III to provide essential administrative services, travel support, and public affairs coordination at the Washington, D.C. headquarters. The contractor will be responsible for a variety of tasks that ensure the smooth operation of the office, including managing communications, scheduling, and supporting meetings and conferences. The role requires a proactive approach to handling inquiries, managing calendars, and facilitating travel arrangements for the office staff. The contractor will be expected to submit all deliverables to the Government Task Manager (GTM), with agreed-upon formats and delivery dates. Key deliverables include biweekly time and attendance data, monthly cost status reports, and weekly project status reports that detail activities, progress, and any issues requiring attention. The Secretary III will also maintain office records, prepare requisitions for supplies, and provide administrative support during meetings, ensuring that all necessary materials and arrangements are in place. This position requires a strong understanding of federal government practices, particularly within the Department of State, and the ability to communicate effectively with various stakeholders. The contractor will need to demonstrate proficiency in Microsoft Office Suite and possess the organizational skills necessary to manage multiple assignments under tight deadlines. A Secret Clearance and a Bachelor's degree or equivalent experience are mandatory qualifications for this role.

Responsibilities

  • Receives and screens visitors and incoming phone calls, determining the nature of requests and referring callers or visitors to appropriate staff.
  • Maintains the Special Envoy and Office Director's calendars, establishing priorities and arranging meetings as necessary.
  • Makes travel arrangements for the office, including securing travel and hotel reservations, passports, visas, and other travel documents.
  • Reviews, drafts, and processes correspondence for non-technical matters, identifying items that need supervisor attention.
  • Establishes and maintains multiple types of office records for efficient information retrieval.
  • Prepares and submits requisitions for office supplies and related materials based on office requirements.
  • Provides administrative support for meetings and conferences, including scheduling and gathering background materials.

Requirements

  • Secret Clearance
  • Bachelor's degree or at least three (3) years of experience
  • Experience in general practices within the Federal Government, specifically within the Department of State.
  • Ability to communicate effectively, both orally and in writing.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Access).
  • Ability to plan, organize, and prioritize multiple assignments with tight deadlines.
  • Experience in applying government regulations and procedures, particularly travel regulations.
