About the position

The Secretary III position is a vital role that involves direct interaction with government personnel to meet the administrative needs of the project and its staff. This position is governed by the Service Contract Act (SCA) and requires a comprehensive understanding of various administrative tasks. The Secretary will be responsible for preparing a wide range of documents, including official correspondence, memorandums, technical reports, and military evaluations, ensuring adherence to the Naval Correspondence Manual. The role also includes maintaining logs of naval correspondence, scheduling meetings, and managing leadership calendars to facilitate effective communication and organization within the team. In addition to document preparation, the Secretary III will handle the ordering of supplies, manage travel authorizations, and track training completions using various systems such as the Defense Travel System (DTS) and Fleet Training Management and Planning System (FLTMPS). The position requires proficiency in advanced functions of Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, as well as the ability to respond to routine inquiries and prepare periodic reports. The Secretary will also be responsible for maintaining student information in training systems and ensuring compliance with security protocols for visitor access. The role demands a high level of confidentiality and the ability to prioritize tasks effectively. The Secretary III will work closely with senior management and team members, contributing to a collaborative work environment. The position may involve some tasks that do not have established procedures, requiring the ability to adapt and interpret guidelines as necessary. Overall, this position is essential for the smooth operation of administrative functions within the organization.

Responsibilities

  • Prepares documents including official correspondence, letters, memorandums, and technical reports in accordance with the Naval Correspondence Manual.
  • Maintains an incoming and outgoing log of naval correspondence and schedules meeting rooms.
  • Monitors leadership schedules/calendars and arranges conferences and meetings.
  • Reviews and proofs correspondence/documents for grammar and spelling.
  • Orders supplies using DoD FedMall and reviews/inputs travel authorizations/vouchers using Defense Travel System (DTS).
  • Tracks training completion utilizing Fleet Training Management and Planning System (FLTMPS).
  • Creates, routes, tracks, and follows-up on routine message traffic.
  • Monitors the Navy Standard Integrated Personnel System (NSIPS) e-leave.
  • Performs Command Pay and Personnel Administrator (CPPA) and/or Command-Level Access Manager (CLAM) functions.
  • Provides clearance verification and processes visitor authorization request access utilizing the Defense Information System for Security (DISS).
  • Updates and maintains student information in Corporate Enterprise Training Activity Resource Systems (CeTARS).
  • Collects information and responds to routine inquiries and/or prepares periodic reports.

Requirements

  • High school diploma/GED or equivalent.
  • Military administrative experience.
  • Four (4) years of secretarial experience.
  • Verifiable experience in the use of advanced functions of Microsoft Word, Excel, PowerPoint, and Outlook.
  • Experience with basic correspondence, filing, scanning, reproduction, faxing, answering telephones, maintaining supply inventories, sorting mail, and greeting visitors.
  • Ability to type 60 words per minute.
  • Effective oral and written communication skills.
  • Experience in editing and reformatting written or electronic drafts.
  • Familiarity with office terminology and practices.
