About the position

The University of Miami is seeking a part-time Secretary for the Magnet Department located at the UHealth Tower. This role is essential for ensuring the efficient and effective operations of the department. The Secretary will perform a variety of clerical and administrative tasks, which include responding to general inquiries and questions from staff and visitors. The position requires a proactive approach to managing the office environment, including answering and routing telephone calls, greeting visitors, and maintaining an organized office space. In addition to handling communications, the Secretary will be responsible for various administrative duties such as filing, typing, and copying documents. Scheduling appointments and keeping the office calendar up-to-date are critical components of this role. The Secretary will also arrange meetings, including catering needs, and manage travel arrangements as necessary. Furthermore, the position involves compiling information to assist department leadership in budget management and inventory control, as well as ordering supplies when needed. Adherence to university policies and procedures is paramount, as is the safeguarding of university assets.

Responsibilities

  • Answers telephone, screens and routes calls to appropriate destination, recording accurate messages when necessary.
  • Greets staff and visitors, and announces arrival to appropriate staff.
  • Performs administrative tasks such as filing, typing, and copying documents.
  • Schedules appointments and ensures the office calendar is up-to-date.
  • Arranges meetings, including any required catering needs for the meeting, and handles travel arrangements.
  • Provides general information about department operations.
  • Compiles information to assist department leadership in managing the budget and inventory.
  • Orders supplies for the department as needed.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Requirements

  • High school diploma or equivalent.
  • Valid American Heart Association (AHA) Basic Life Support (BLS) certification.
  • Minimum 1 year of relevant experience.
