About the position

The Secretary (OA) position at the Department of Veterans Affairs is designed to provide essential personal assistance to the Executive Leadership Team (ELT). This role encompasses a variety of executive-level secretarial support and administrative duties that are crucial for the effective functioning of the ELT. The selected candidate will manage the day-to-day activities of the associated ELT members, exercising exclusive control over their schedules and calendars. This requires the use of initiative and judgment to prioritize appointments and activities effectively. The Secretary will independently determine which callers should be referred to subordinate or alternate resources for assistance, ensuring that the ELT members are kept informed about the nature of conferences, appointments, and meetings scheduled. Additionally, the Secretary will ensure that all necessary background materials are prepared and available for review prior to these appointments. In this role, the Secretary will screen all incoming calls, answering most questions and resolving business issues or concerns that involve established policy or routine matters without needing to refer individuals to the ELT member. The position also involves reviewing all correspondence and inquiries received by the ELT members, determining which require immediate attention and which can be handled as routine matters. The Secretary will arrange meetings, conferences, and special events for the ELT members, accumulating and organizing information necessary for evaluating programs and their requirements. This role requires collaboration in a team-oriented, customer-driven environment to develop new models of care that emphasize prevention, improve access and coordination of care, and enhance the overall customer experience. The work schedule for this position is full-time, Monday through Friday, from 0700 to 1530. While this is not a virtual position, telework may be authorized as determined by agency policy. The position is permanent and does not require travel or relocation expenses reimbursement. The Secretary will also participate in the seasonal influenza vaccination program, which is a requirement for all Department of Veterans Affairs Health Care Personnel (HCP).

Responsibilities

  • Manage the day-to-day activities of the associated ELT members.
  • Control the schedules and calendars of ELT members, prioritizing appointments and activities.
  • Determine which callers should be referred to subordinate or alternate resources for assistance.
  • Advise ELT members of the nature of conferences, appointments, and meetings scheduled.
  • Ensure all necessary background materials are available for review prior to appointments.
  • Screen all calls, answering most questions and resolving business issues without referring to ELT members.
  • Review correspondence and inquiries received by ELT members, determining urgency and routing appropriately.
  • Arrange meetings, conferences, and special events for ELT members.
  • Accumulate and organize information for evaluating programs and their requirements.
  • Collaborate in a team-oriented, customer-driven environment to develop new models of care.

Requirements

  • Must be a U.S. Citizen to apply for this job.
  • Selective Service Registration is required for males born after 12/31/1959.
  • Must be able to serve a probationary period if required.
  • Subject to background/security investigation.
  • Participation in the seasonal influenza vaccination program is required for all Department of Veterans Affairs Health Care Personnel (HCP).
  • Qualified Typist (40 WPM).
  • One year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization.
