The Secretary - Substitute position at Brandywine School District is designed to provide essential administrative support during the absence of regular school or department secretaries. The incumbent will be called upon as needed, which requires flexibility and the ability to respond to short-notice requests. The position is non-benefited and classified as casual/seasonal, meaning that it does not come with traditional employee benefits but offers a competitive hourly wage of $18.48, commensurate with the district's salary schedule for casual/seasonal roles. In this role, the Secretary will perform a variety of secretarial duties, including answering phones, directing calls, taking messages, and responding to email inquiries. The individual will greet and assist the public, staff, and students, ensuring a welcoming and professional environment. Maintaining an organized office is essential, as is the protection of sensitive and confidential information. The Secretary will also be responsible for preparing and distributing written or typed correspondence, accessing, retrieving, and filing documents according to established systems, sorting and distributing mail, and preparing outgoing mail while accepting deliveries. Data entry assignments will also be a part of the daily responsibilities, requiring proficiency in various office management tasks.

Responsibilities

  • Perform secretarial duties such as answering the phone, directing calls or taking messages, and responding to email inquiries.
  • Greet and assist the public, staff, and students.
  • Maintain an organized office and protect sensitive and confidential information.
  • Prepare and distribute written or typed correspondence.
  • Access, retrieve, and file documents according to established systems.
  • Sort and distribute mail; prepare and distribute mass communications.
  • Prepare outgoing mail and accept deliveries.
  • Perform data entry assignments.

Requirements

  • High School diploma or equivalent.
  • Must be available to work as needed on short notice.
  • Knowledge of general office management, procedures, and business machine operation.
  • Outstanding customer service, multi-tasking, time management, organization, and interpersonal communication skills.
  • Exceptional ability to build and maintain effective working relationships and interact professionally with others.
  • Proficiency in data entry, filing, and document processing; familiarity with MS Office Suite of Applications and/or school or department automated systems.
  • Work well independently and in a team environment.
  • Demonstrated ability to take initiative, use good judgment, follow through on assigned tasks, and maintain confidentiality.
