About the position

The Secretary position at Bern Township is a full-time role focused on providing exceptional administrative support within a busy office environment. The ideal candidate will be detail-oriented, organized, and possess strong communication skills, with a professional demeanor. This role involves a variety of clerical and accounting duties, including customer service, bookkeeping, and managing office supplies, while also offering opportunities for growth and advancement within the organization.

Responsibilities

  • Provide exceptional customer service as the first point of contact, both in person and in writing.
  • Open the office daily, greet visitors, and manage a multi-line phone system.
  • Handle email and regular mail, shipments, building permit applications, and land development applications.
  • Prepare letters, reports, financial data, meeting minutes, and similar materials, ensuring accuracy and proper formatting.
  • Assist administration and the Chief of Police with daily operational tasks.
  • Establish and maintain a record-keeping system for files, contacts, permits, and sewage enforcement.
  • Oversee office equipment and supplies, initiating requisitions to replenish inventory.
  • Exhibit a professional demeanor and maintain a neat work area with a focus on confidentiality.

Requirements

  • High school diploma or equivalent.
  • Demonstrated administrative office experience and computer proficiency in Microsoft Office products: Word, Excel.
  • Ability to type 40 - 60 wpm or greater.
  • High level of interpersonal skills to handle sensitive and confidential situations.
  • Exceptional written and verbal communication skills.
  • Ability to multitask and manage time wisely.
  • Valid Driver's License required; must meet township insurability standards.
