This position of Secretary is a full-time role, requiring 40 hours of work per week from Monday to Friday, with working hours from 8:00 AM to 4:30 PM in the MDS (Reimbursement) Department. The Secretary will perform clerical and receptionist activities under the direction and supervision of the MDS Coordinator. This role is crucial in providing excellent customer service to insurance companies, elders, families, and coworkers, ensuring that all needs are addressed in a timely and professional manner. The Secretary will be responsible for maintaining and updating various worksheets, sending insurance updates, delivering notices, scanning paperwork, and managing communication within the department. Additionally, the Secretary will be expected to attend required educational sessions and perform other duties that support the core team in fulfilling St. John's mission, vision, and values.

Responsibilities

  • Maintain/update Daily Reimbursement & Discharge Planning Worksheet throughout each day.
  • Send Insurance updates to the Insurance companies either via Portal or fax.
  • Deliver Notice of Medicare Non-Coverage (NOMNC) to Elders and/or Families.
  • Scan into charts any paperwork needing to be attached ie: NOMNCs, SNF-ABNs, DENCs, letters of determination, etc.
  • Maintain/update MVP PDPM worksheet.
  • Answer phone: relay information and when necessary field calls to appropriate MDS Nurse.
  • Update and send Thursday email chain to all Disciplines every Thursday morning after meetings.
  • Assume responsibility for attending/maintaining required educational Mandatories.
  • Download and email requested MDS's to Medical as requested.
  • Attend/maintain required educational mandatory in-services.
  • Perform other duties as needed that support the core team to fulfill St. John's mission, vision and values.

Requirements

  • High school degree or GED.
  • Secretarial experience preferred.
  • Ability to interact with elders.
  • Willingness to embrace and exemplify St. John's Brand Characteristics.
