About the position

The Senior Assistant Facility Manager plays a crucial role in supporting the Facilities Manager in overseeing the operations of a facility. This management position involves supervising building staff, ensuring compliance with policies, and implementing best practices to maintain a well-managed environment. The role requires a proactive approach to facility management, including budget preparation, maintenance oversight, and staff training.

Responsibilities

  • Manage the building staff in the absence of the Facility Manager or Senior Facility Manager.
  • Oversee day-to-day operations of the facility, ensuring compliance with C&W policies and client directives.
  • Supervise maintenance programs for the properties' interior and exterior conditions.
  • Respond promptly to maintenance requests from building occupants.
  • Compile and ensure timely completion of site-specific documentation and reports.
  • Prepare budgets, financial reports, contracts, and purchase orders related to the facility.
  • Provide information for the development of capital budgets and maintenance plans.
  • Collect and analyze statistical data for facility management objectives.
  • Ensure compliance with insurance requirements for tenants and vendors.
  • Proactively inspect the facility and report findings to the Facility Manager.
  • Hire, train, and motivate facility personnel, maintaining positive staff relations.

Requirements

  • Associate's degree in facilities management, building, business or related field required.
  • Minimum 3 years' relevant experience in commercial or industrial real estate with facility management experience required.
  • One year supervisory experience preferred.
  • Experience in maintenance, construction, engineering, and property operation preferred.
  • CMMS/Work Order Management experience is preferred.
  • Ability to read and understand construction specifications and blueprints.
  • Proficient in Microsoft Office Suite (MS Word, Excel, PowerPoint).
  • Strong financial management skills including budgeting and forecasting.

Nice-to-haves

  • Bachelor's degree preferred.
  • Certified Facility Manager (CFM) or other industry certifications recommended.
  • Knowledge of Financial Systems (Yardi a plus).
