About the position

Under the supervision of the President/CEO, the Sr. Executive Assistant provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, database entry, travel arrangements and Outlook calendar scheduling. Duties are performed in support of assigned executives, Board of Directors, and the President/CEO as requested.

Responsibilities

  • Support executives and others as assigned by performing clerical tasks relating to various department functions.
  • Complete assigned responsibilities with minimum errors.
  • Answer phones, file, perform keyboard tasks such as communication and database entry, create and maintain reports, documents, presentations and forms, and schedule meeting facilities and notify attendees.
  • Assist President/CEO and Chief Executive Team in screening calls and maintaining administrative office including but not limited to ordering office supplies, handling correspondence and daily mail.
  • Keep President/CEO advised of complaints, telephone calls, and letters received and coordinate follow-through on pending issues.
  • Maintain a dependable record of attendance and timeliness.
  • Communicate with vendors as needed to coordinate assigned activities.
  • Must understand and perform regulatory requirements as applicable to job responsibilities. Maintain awareness of policies related to duties and responsibilities.
  • Attend credit union and other training sessions, conferences, or seminars as approved by supervisor.
  • Maintain and protect all sensitive data utilizing the highest standard of confidentiality and professionalism. Consistently display respect for all areas of diversity and levels of knowledge.
  • Process monthly expense reports (Certify/Emburse) for corporate credit cards for self, the CEO and Chief Executive Team as requested.
  • Serve as primary liaison between Management and Board/Supervisory Committee members.
  • Assist with tracking and processing Board and Supervisory Committee (SC) stipends.
  • Process Board/SC expense reimbursement requests and requests for educational opportunities.
  • Assist with the planning of and attending Strategic Planning Retreats, Board Meetings, Board Dinners and events, official record-taker of the Annual Meeting and other such meetings that may be required throughout the year. Take minutes at all required meetings.
  • Assist and set up for weekly Chief Executive Meetings including preparing agendas and implementing and delivering virtual options for attendees off-site.
  • Assist in scheduling and/or arranging appointments, meetings, business trips, for CEO, Board members, and/or other members of the Senior Management team as requested.
  • Maintain the calendar of events and schedules for the CEO and Board members.
  • Maintain official electronic files of current and archived copies of Board Meeting Minutes and reports for Management and Credit Union auditors.
  • Prepare and distribute monthly Board packages for Board Meetings.
  • Assist with updating Bylaws and Board Policies, including maintaining the policy review schedule for Board and facilitating as needed.
  • Maintain review schedules of Operational Policies and Management Directives and ensure they are reviewed as required by appropriate owners/departments.
  • Maintain Word versions in electronic files of current and archived Policies/Directives and distribute as requested to owners for review and required editing.
  • Ensure Operational Policies requiring annual Board approval are reviewed appropriately and kept current.
  • Maintain cohesive relationships with other departments and co-workers.
  • Respond to member and/or employee requests for information as required.
  • Maintain work area and perform tasks in a safe and sound manner.
  • Display mutual respect, trust and dignity, act in the best interest of the credit union at all times.
  • Seek opportunities for achievable process improvements and bring to supervisor with recommendations.

Requirements

  • Four (4) year college degree required. Proper experience or completion of a specialized course of study at a business or trade school considered as equivalent.
  • Five (5) to eight (8) years of similar or related experience. Department-specific experience desired.
  • Some travel is required to attend credit union training or to complete duties as assigned.
  • Demonstrated tact and professional behavior required.
  • Proficient with standard office equipment, databases, Microsoft Office software including Excel, PowerPoint, and Outlook. Experience with department specific programs desired.
  • Knowledge and understanding of credit union services and products desired.
  • Ability to maintain confidentiality.

Nice-to-haves

  • An administrative certification is preferred such as IAAP's Certified Administrative Professional.
  • Certification in the use of Microsoft Office preferred.
