About the position

The position is within the Ascension Human Resource - Executive Office, operating on a Monday to Friday schedule during standard business hours. This role is remote and involves coordinating various executive office functions to ensure seamless operations.

Responsibilities

  • Coordinate schedules, visitors, telephone calls, meetings, deadlines, and presentations to ensure the executive office functions seamlessly.
  • Maintain executive office calendar.
  • Schedule and coordinate management meetings, conferences, special events, and travel arrangements.
  • Prepare and distribute subsequent correspondence as needed and follow up on action items to ensure completion.
  • Prepare and coordinate the preparation of correspondences, reports, presentation materials, and other written communications as required.
  • Monitor financial and budget information and prepare data for review.
  • Provide input to performance management.

Requirements

  • High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.
  • Required professional licensure/certification can be used in lieu of education OR experience, if applicable.

Nice-to-haves

  • Partner with the Sr. Vice President and Vice President on strategies and priorities.
  • Able to look ahead to foresee issues with schedules and mitigate those issues.
  • Excellent calendar management.
  • Work in a team environment with our HR team, the team they support, and can also work independently when the executives are traveling to make decisions, etc.
  • Handle travel arrangements and expense reports.
  • Excellent project management skills to handle planning of on-site team meetings, agenda preparation for on-site and virtual team meetings, and supplier management responsibilities such as requesting new supplier registrations, requesting and tracking POs and invoice payments.
  • Backup other colleagues and support the Team Supervisor and ALT Administrator with projects.
