About the position

The Studio Coordinator at OVME plays a crucial role in delivering exceptional client service as the first point of contact for clients. This part-time position involves managing client interactions, scheduling appointments, and ensuring a positive experience in a fast-paced environment. The coordinator will also assist with administrative tasks and support marketing efforts, contributing to the overall success of the studio.

Responsibilities

  • Create an unrivaled customer experience for all clients.
  • Welcome and greet clients in a warm and friendly manner.
  • Provide outstanding customer service by addressing client inquiries and scheduling appointments.
  • Manage and coordinate the appointment booking system for accurate scheduling.
  • Collect client information and ensure accuracy and confidentiality of records.
  • Assist clients with completing necessary forms and consent documents.
  • Answer phone calls and respond to emails regarding services and pricing.
  • Maintain a clean and organized front desk area.
  • Process client payments and verify insurance information if applicable.
  • Coordinate with clinical and administrative staff for efficient client care.
  • Collaborate with management to implement office policies and procedures.
  • Manage inventory of office supplies and place orders as needed.
  • Stay knowledgeable about services, treatments, and promotions.
  • Handle confidential client information with discretion.
  • Assist with marketing efforts and gather client testimonials.
  • Perform additional administrative tasks as assigned.

Requirements

  • Exceptional written and verbal communication skills.
  • Ability to thrive in a fast-paced, customer-service-oriented environment.
  • Experience in social media management.
  • Ability to function independently with minimal supervision.
  • Strong organizational skills and ability to multi-task.
  • Bachelor's degree or comparable industry experience preferred.

Nice-to-haves

  • Medical CRM/Zenoti experience is a plus.
