About The Position

As a Subcontracts Administrator, you will manage and prepare subcontract agreements for the organization, ensuring compliance with company and legal requirements. This role involves drafting, reviewing, and negotiating contracts, monitoring subcontractor compliance, and collaborating with various departments to support the organization's strategic goals.

Requirements

  • Associate's degree in business, Legal, Procurement, Administration, or similar, or equivalent years of experience.
  • Bachelor's degree preferred.
  • 4+ years of prior experience reading and interpreting contracts and/or insurance documents.
  • 4+ years of experience in contract management, paralegal, or similar role.
  • Proficient with Microsoft Office, Adobe, and/or Bluebeam.
  • Certification in Contract Management preferred.

Responsibilities

  • Draft, review, and negotiate subcontract agreements and amendments ensuring compliance with company, legal, and project requirements.
  • Ensure appropriate project flow-downs are added to subcontracts as required by upstream contracts.
  • Enter and maintain subcontracts and change orders in the Enterprise Resource Planning systems (ERP), CMIC and Wennsoft.
  • Implement company subcontract and risk management policies and procedures.
  • Monitor subcontract execution and provide clear expectations on compliance requirements to project team and subcontractors.
  • Provide proactive support, management, and tracking of contractual documentation, action items, and critical data.
  • Negotiate with subcontractors to reach mutually agreed contract terms, consulting with the appropriate departments for authorization.
  • Resolve subcontract disputes and issues in a timely manner, coordinating with project teams, legal, finance and other departments as necessary.
  • Partner with direct leader to develop, implement, and roll-out internal training and guidance on subcontract-related issues.
  • Manage and monitor compliance status in ERP systems, actively working to resolve outstanding compliance holds by pulling reports and contacting subcontractors and project leaders as necessary.
  • Analyze subcontract issues in ERP systems while proactively finding ways to continuously improve the systems and processes.
  • Research and recommend system improvements, ensuring alignment with all internal customers.
  • Partner with leader, project leaders, as well as IT team to implement system improvements for the purpose of creating efficiencies and capacity.
  • Learn and understand Harris' ERP systems to become the subcontracts subject matter expert (SME).
  • Assist in resolving system issues relating to subcontracts.
  • Maintain detailed records of subcontract files/records and communications in accordance with company requirements.
  • Provide exceptional customer service to both internal and external customers.
  • Respond, address, and resolve internal customer requests and issues using their preferred mode of communication in an expedient manner.
  • Execute administrative tasks including but not limited to filing, scanning, cost transfers, closing subcontracts, and answering phones as needed.
  • Secure necessary subcontract paperwork and review for accuracy.
