About the position

At Virtua Health, we are dedicated to providing exceptional care to our community, and the Unit Secretary plays a vital role in ensuring the smooth operation of our nursing unit. This position involves performing clerical and secretarial duties that are essential for maintaining patient and operational records. The Unit Secretary will be responsible for processing and maintaining clerical information on the unit, responding to and screening telephone messages, and referring requests regarding patient information to the appropriate personnel. This role is crucial in assisting with the coordination of patient flow, unit rounding, and ensuring visitor security. The Unit Secretary will maintain the electronic medical records of patients, ensuring completeness and accuracy of patient charts and records. This includes communicating with providers to facilitate consults and managing the admission, discharge, and transfer status of patients. Additionally, the Unit Secretary will assist in coordinating patient transportation to external facilities or discharge to home, ensuring that all logistical aspects of patient care are handled efficiently. Another key responsibility of the Unit Secretary is to maintain supplies and equipment for the unit, placing orders for services as needed and coordinating with Environmental Support Services. This position requires a professional demeanor and strong interpersonal skills, as the Unit Secretary will interact with customers and staff at all levels, ensuring clear and effective communication. The ability to multi-task effectively is essential in this fast-paced environment, where attention to detail and organizational skills are paramount.

Responsibilities

  • Processes and maintains clerical information on the unit.
  • Responds to, screens, and refers telephone messages and requests regarding patient information and unit operation to the appropriate personnel.
  • Assists with coordination of patient flow, unit rounding, and visitor security.
  • Maintains patient's electronic medical record, ensuring completeness and accuracy of patient charts and records.
  • Communicates consults by contacting providers and facilitates admission, discharge, transfer status.
  • Assists with coordination of patient transportation to external facilities or discharge to home.
  • Maintains supplies, equipment, and places orders for service, coordinating with Environmental Support Services as required.

Requirements

  • Basic computer skills (word processing, data entry), with ability to quickly learn and be proficient using Unit computer systems.
  • Understanding/familiarity of medical terminology or ability to quickly learn in order to process and maintain accurate medical records.
  • Professional demeanor and strong interpersonal skills demonstrating the ability to communicate clearly, effectively, tactfully, and courteously with customers and staff on all levels.
  • Ability to multi-task effectively.
  • 1-2 years secretarial or administrative assistant experience in a medical setting is preferred.
  • High school graduate or equivalent.

Nice-to-haves

  • Additional coursework in the medical support field is preferred.
