About the position

The Inventory Manager is a leader and an integral member of the veterinary clinic management team, and reports directly to the Practice Manager and Managing Partners. The fundamental responsibility of the Inventory Manager is to effectively use all available resources to create and maintain superior inventory operation as well as ensure profitability. These duties include but are not limited to overseeing ordering, stocking, organizing, assessing and adjusting to the supply and equipment needs of the clinic. This position is full time with a 5-day work week.

Responsibilities

  • Establish inventory control systems to assure adequate stocks of supplies are available.
  • Manage supply activities. Supervise maintenance and proper storage of supplies and equipment.
  • Analyze and monitor the turnover rate of supplies and equipment and provide necessary guidance in the requisition to replenish needed requirements.
  • Maintain organization and proper storage of all inventory products and consumables.
  • Meet with vendors to learn about new products, services and pricing structure.
  • Meet with the management team and practitioners regularly to assess product availability, concerns and application.
  • Stay current regarding any recent developments relative to new products or current products that are subject to backorders or being discontinued.
  • Monitor inventory costs and mark-up items according to the standardized industry benchmarks.
  • Oversee process of the receipt of shipment and unpacking of all inventory orders.
  • Verify that all shipment documents match the shipment order and are received and undamaged.
  • Ensure that the Practice Manager receives copies of the packing slips and receipts, within 2 weeks of receiving them.
  • Monitor inventory and return items before they expire as well as return overstock items.
  • Coordinate the ordering, logging and tracking of controlled substances in the hospital.
  • Oversee and utilize the clinic's computer software to accurately and timely enter inventory data.
  • Ensure that state pharmacy regulations and federal drug regulations are followed.
  • Partner with the Practice Manager to organize and execute annual OSHA training for all associates.
  • Oversee the maintenance of accurate SDS sheets and coordinate training and instruction with management.
  • Oversee physical inventory counts quarterly to assure accurate numbers.
  • Work well with all team members and ensure that your actions support the clinic, the doctors, and the practice philosophy.
  • Responsible for organization and cleanliness of stockroom and weekly, biweekly, and monthly building maintenance.
  • Participate in routine department meetings to identify pot holes and drive solution focused discussion.
  • Perform other duties essential to the performance of the hospital as assigned.

Requirements

  • Understanding of the critical balance between the administrative and clinic functions in the veterinary healthcare delivery system.
  • Ability to apply the specialized principles and practices of veterinary inventory needs.
  • Demonstrates initiative and self-motivation to follow through on all responsibilities in a timely manner.
  • Strong computer skills including MS Office (Word, Excel), email, and multiple veterinary software systems.
  • Knowledge of the use, care, and storage of veterinary instruments, materials, and equipment.
  • Strong communication, leadership and motivation skills.
  • Ability to effectively solve problems dealing with staff conflict to personnel issues and performance.
  • Requires strong customer service, communication and leadership skills.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Critical thinking - Understanding logic and reasoning to identify the strengths and weaknesses of alternative solutions.
