About the position

The Administrative Assistant V position in the Transportation Department is responsible for providing a wide range of confidential administrative support to the assigned Director. This role involves coordinating projects, managing files and budgets, preparing reports, and facilitating communication within the department. The position ensures the efficient operation of support functions and represents the Director in their absence.

Responsibilities

  • Compiles both confidential and non-confidential data from various sources for the purpose of preparing information for the assigned Director.
  • Coordinates a variety of projects and functions to complete activities and deliver services in a timely manner.
  • Maintains manual and electronic files, department budgets, and accounts to provide up-to-date reference and audit trails.
  • Participates in meetings, workshops, and trainings to provide or receive information and support attendees' needs.
  • Prepares a wide variety of reports, documents, and correspondence of both confidential and non-confidential nature.
  • Processes documents and materials to disseminate information in compliance with administrative guidelines and regulatory requirements.
  • Represents the assigned Administrator in their absence to convey and gather necessary information.
  • Responds to inquiries from internal and external parties to provide information and facilitate communication.
  • Schedules a variety of activities for the Director, including professional development and calendar management.
  • Supervises assigned personnel as directed by the administrator to ensure performance objectives are met.
  • Supports the assigned Director in their functions and responsibilities.

Requirements

  • High school diploma or GED.
  • Job-related experience with increasing levels of responsibility is desired.
  • Basic math skills including calculations using fractions, percents, and ratios.
  • Mid-level proficiency in Microsoft Office and job-related software applications.
  • Ability to operate standard office equipment and prepare and maintain accurate records.
  • Strong customer service skills and phone etiquette.

Nice-to-haves

  • Experience in budgeting and financial analysis.
  • Knowledge of office methods and practices, including record keeping and retention practices.
