About the position

The Attendance Clerk is responsible for performing computational and posting work involving the attendance accounting system of a school or program in accordance with state and district requirements. This role also includes general clerical work to support the school office. The position requires effective communication with students, parents, staff, and other parties regarding attendance matters, as well as maintaining accurate records and reports related to student attendance.

Responsibilities

  • Assists with various clerical duties within the school office as assigned.
  • Communicates effectively in both oral and written forms.
  • Compiles and prepares a variety of records, reports, and other correspondence related to student attendance.
  • Confers and consults with students, parents, staff, judicial agents, social services, and other appropriate parties regarding student attendance matters.
  • Confers with District Office regarding attendance accounting reports, procedures and practices.
  • Follows district policies and procedures.
  • Greets in a courteous manner, ascertains needs, and directs individuals to various departments, meetings, and/or staff.
  • Maintains records required for attendance accounting.
  • Obtains verification of student absences.
  • Operates a variety of office machines, including typewriter, computer terminal, calculator, and copier.
  • Participates in daily attendance accounting work required to keep accurate school attendance records.
  • Prepares and issues admit and tardy slips, hall passes, and early dismissal permits.
  • Records student attendance following prescribed district procedure.
  • Reports student attendance problems to appropriate staff.
  • Reviews documents for accuracy, completion, and conformance to established procedures.
  • Updates registration lists, attendance forms, attendance cards, emergency forms, etc., for changes in enrollment.

Requirements

  • Knowledge of attendance accounting methods and techniques.
  • Knowledge of correct English usage, spelling, grammar, punctuation, and math.
  • Knowledge of modern office practices and procedures.
  • Knowledge of proper telephone techniques and etiquette.
  • Knowledge of safety rules and regulations for this position.
  • Knowledge of statistical record-keeping methods and techniques.
  • Ability to be a productive and active team member.
  • Ability to communicate effectively in both oral and written forms.
  • Ability to compile and maintain accurate and complete records and reports.
  • Ability to establish and maintain effective work relationships with those contacted in the performance of required duties.
  • Ability to handle all matters in a tactful, courteous, and confidential manner.
  • Ability to learn and follow the operations, procedures, policies, and requirements of an assigned program or operational unit.
  • Ability to operate standard office equipment/machines such as typewriter, calculator, copy machine, computer terminal, and printer.
  • Ability to perform a variety of attendance accounting work involving use of independent judgment and requiring accuracy and speed.
  • Ability to perform clerical work without continuous supervision.
  • Ability to perform routine mathematical calculations using addition, subtraction, multiplication, and division.
  • Ability to prepare attendance reports and correspondence.
  • Ability to type accurately at a rate of forty (40) words per minute.
  • Ability to understand and carry out oral and written instructions.
  • Ability to work efficiently with frequent interruptions.
  • Ability to work independently and maintain high standards of workmanship.
  • Ability to work successfully with diverse groups of people.

Nice-to-haves

  • One (1) year of experience working with the SASI or other computerized attendance system is desired.
  • Two (2) years of detailed clerical and accounting experience, including use of computer.
