About the position

The Administrative Assistant position is responsible for providing diverse and confidential administrative support to the Global Technology Third Party and Change Executive. This role involves extensive calendar management, coordinating travel arrangements, processing expenses, and gathering relevant information for the executive. The assistant will also manage communications with executives and senior management, ensuring effective scheduling and organization of meetings and events.

Responsibilities

  • Provide executive administrative support to the Global Technology Third Party and Change Executive.
  • Manage the schedule of the Executive, including meetings, tele-presence, and travel arrangements.
  • Coordinate travel planning and expenses, maximizing time and creating efficiencies.
  • Prepare meeting minutes and related documents, utilizing strong written and oral communication skills.
  • Liaise with outside groups to coordinate events where the executive is involved.
  • Engage in high-level client contact and support conversations related to sensitive information.
  • Document accurate messages and handle calls with appropriate judgment.
  • Assist with various administrative aspects of department management.

Requirements

  • 3+ years experience as an Executive Assistant or comparable level of experience as a Senior Administrative Assistant.
  • Demonstrated ability to interact with senior level executives.
  • Proficient in Microsoft Office, especially MS Outlook.
  • Ability to work independently, multitask, and manage time effectively.
  • Strong executive presence and superior interpersonal communication skills.
  • Excellent attention to detail and organizational skills.
