About the position

The Secretary I position at Marana High School is designed to provide essential secretarial support to school staff and administrators, ensuring smooth operations within the school environment. The role involves a variety of tasks that require confidentiality, effective communication, and organizational skills. The incumbent will be responsible for greeting visitors, managing phone calls, and distributing mail and messages to the appropriate personnel. This position plays a crucial role in scheduling and coordinating appointments, meetings, and in-school conferences for key personnel, including Associate Principals and the School Resource Officer. In addition to administrative duties, the Secretary I will act as a liaison with outside agencies such as Child Protective Services and Probation Officers, facilitating the scheduling of hearings and appointments. The role also includes managing communication with transportation and maintenance departments regarding issues that impact the school directly. The Secretary will support the discipline process by inputting student referrals into the computer system, creating discipline reports, and scheduling necessary hearings or parent meetings. The position requires coordination of various school events, including student scheduling, New School Year Orientation, and standardized testing. Data entry into various computer systems is a significant part of the job, along with filing correspondence and reports, making copies, and sending faxes as requested. The Secretary I will also be responsible for receiving and delivering incoming mail and coordinating outgoing mail to individuals and groups. Other duties may be assigned as needed, reflecting the dynamic nature of the school environment.

Responsibilities

  • Greets visitors, receives phone calls, distributes mail and messages to appropriate personnel.
  • Schedules and coordinates appointments, meetings, and in-school conferences for Associate Principals, School Resource Officer, and Safe School Officer.
  • Assists outside agencies and personnel by scheduling hearings, appointments, or other requests.
  • Manages communication and activities with transportation and maintenance departments on issues impacting the school.
  • Supports the discipline process by inputting student referrals into the computer system, creating discipline reports, and scheduling hearings or parent meetings.
  • Coordinates events such as student scheduling, New School Year Orientation, Standardized Testing, and parent/teacher conferences.
  • Performs data entry into various computer systems.
  • Receives visitors and routes or escorts them to the appropriate location.
  • Receives and delivers incoming mail; coordinates and produces outgoing mail to individuals and groups.
  • Files correspondence, reports, and other forms of information.
  • Makes copies and sends faxes as requested.
  • Performs other duties as assigned.

Requirements

  • High School Diploma or GED
  • Customer service experience
  • Demonstrated proficiency in computer programs such as Microsoft Word, Excel, PowerPoint, Outlook, and Explorer.
  • Ability to operate standard office equipment.
  • Effective verbal and written communication skills.
  • Basic mathematical computation skills.
  • Ability to apply common sense understanding to solve practical problems.
  • Ability to maintain confidentiality regarding people or events on campus.
  • Ability to work cooperatively and courteously with staff, students, parents, and community members.
  • Ability to handle confrontation and conflict without an emotional response.
  • Ability to produce accurate work and complete assignments with minimal supervision.
