About the position

The Temp Executive Assistant at Harvard University's Graduate School of Design will provide essential administrative support to the Department of Architecture. This role involves in-person office coverage five days a week, assisting with various tasks directed by the Associate Director, Program Manager, and Executive Coordinator. The position is temporary, lasting for three months, and focuses on enhancing departmental operations through effective communication and organizational skills.

Responsibilities

  • Serve as assistant for Department of Architecture staff and faculty leadership.
  • Greet visitors to the office and take phone calls.
  • Monitor departmental email accounts and provide ad-hoc support as needed.
  • Serve as back-up for meeting scheduling and calendaring for the Chair of the Department of Architecture.
  • Provide support to associate director, program manager, and executive coordinator with respect to department activities and projects.
  • Coordinate and staff events and/or meetings, and coordinate room reservations, catering, projects, technology, and events.
  • Responsible for data collection and data entry, as requested.
  • Perform additional duties as requested.

Requirements

  • High School diploma or equivalent.
  • 3+ years' administrative support experience in a high-level environment required.
  • Demonstrated experience in office administration and customer service.
  • Proficiency with MS Office including Outlook, Word, Excel, and PowerPoint.
  • Strong writing, editing, and proofreading skills.
