About the position

The Secretary to the Principal at Kimberlin Academy for Excellence plays a crucial role in providing advanced clerical support to the Principal and other administrative staff. This position requires a high level of confidentiality and the ability to interact with various stakeholders, including district employees, outside agencies, and the general public. The Secretary will work under minimal supervision, managing a variety of tasks that are essential for the smooth operation of the school. The role involves preparing correspondence, reports, and presentations, as well as scheduling appointments and maintaining the Principal's calendar. The Secretary will also be responsible for making travel arrangements and managing the department's budget, ensuring that all financial records are accurate and up to date. In addition to clerical duties, the Secretary will serve as the first point of contact for visitors and callers, providing excellent public relations and communication skills. The position requires the ability to handle multiple tasks simultaneously, demonstrating strong organizational skills and the capacity to make independent decisions. The Secretary will compile and maintain various reports and documents, ensuring compliance with federal and state laws, as well as local board policies. This role is vital in supporting the educational environment and ensuring that the administrative functions of the school are carried out efficiently and effectively.

Responsibilities

  • Provide direct assistance and support to department/campus staff.
  • Prepare correspondence, forms, manuals, reports, presentations, and other documents for the administrator assigned.
  • Schedule appointments and maintain the administrator's calendar.
  • Set up meetings, including reserving the venue, preparing materials, and arranging refreshments and catering.
  • Make travel arrangements, including hotel reservations, and turn in conference registration forms for all departments.
  • Compile, maintain, and file all reports, records, and other department operations documents.
  • Manage professional memberships for the Executive Director and other department staff as directed by the Executive Director.
  • Maintain the base budget for the department by reconciling budget books, running weekly reports, and attending budget meetings.
  • Answer incoming calls and greet visitors, responding to routine inquiries from the public and staff.
  • Compile pertinent data to prepare various required state and local reports.
  • Prepare purchase orders and payment authorizations as directed.
  • Comply with federal and state laws and regulations and local board policies.

Requirements

  • High school diploma or GED.
  • Certified Educational Office Professional certification (CEOP).
  • Minimum of five (5) years or more advanced secretarial experience with extensive contact with people.
  • Knowledge of school district organization, operations, and administrative policies.
  • Ability to read and comprehend instructions, correspondence, and memos.
  • Ability to make independent decisions regarding planning, organizing, and scheduling.
  • Excellent public relations, organization, communication, and interpersonal skills.
  • Ability to use software to develop spreadsheets, perform data analysis, and do word processing.
  • Ability to multi-task numerous complex administrative activities.
