About the position

The Project Coordinator position is a critical role within our administrative and clerical team, primarily focused on managing and monitoring project status, budgets, and timelines. This role requires the creation and maintenance of systems that utilize specialized software applications to ensure that all documentation requirements are met. Given the visibility of errors in this role, it is essential to maintain high standards to avoid significant expenditures and time delays that could arise from mistakes. The Project Coordinator will conduct research, gather, and compile information for reports, analyze results, and effectively communicate project status to stakeholders. In addition to project management, the Project Coordinator will provide skilled technical support with minimal direction. This may include data coordination, data analysis, tracking, and coding. The role demands a strong understanding of literature resources and information retrieval to fulfill clinical information requests that meet regulatory and medical evidence needs. The Project Coordinator will also be responsible for maintaining, promoting, and supporting the use of literature management software, creating and maintaining metrics of clinical document review procedures, and regulating the flow of information to meet regulatory requirements for post-market reporting for medical devices and drugs. The ideal candidate will have a background in library science, with at least one year completed in an MLIS program, and experience with Microsoft Office Systems and clinical literature databases. The Project Coordinator will also facilitate clinical document review procedures, log and maintain documentation and metrics, and support scientific literature needs for therapy experts. This role requires a high attention to detail, strong reference skills, and familiarity with copyright rules and regulations applicable to paper and electronic document use and storage.

Responsibilities

  • Creates and maintains systems to monitor project status, budgets, and timetables through specialized software applications.
  • Ensures documentation requirements are met, minimizing errors that could lead to significant costs and time delays.
  • Conducts research, gathers, and compiles information for reports.
  • Analyzes results and communicates project status effectively.
  • Provides skilled technical support with minimal direction, including data coordination, data analysis, tracking, and coding.
  • Supports clinical information requests to meet regulatory and medical evidence needs.
  • Maintains, promotes, and supports the use of literature management software.
  • Creates and maintains metrics of clinical document review procedures.
  • Regulates the flow of information procedurally to meet regulatory requirements for post-market reporting for medical devices and drugs.
  • Facilitates clinical document review procedures, logging and maintaining documentation and metrics.
  • Supports scientific literature needs for therapy experts, maintaining a database of requested literature that supports medical evidence of products.
  • Creates and improves database records in literature management software.
  • Coordinates translation of relevant foreign language articles.
  • Performs other data management duties as assigned.

Requirements

  • Undergraduate Degree required.
  • Minimum of 1 year completed in library science MLIS program.
  • Experience with Microsoft Office Systems (MOS).
  • Experience using at least one clinical literature database (PubMed, Embase, Ovid, Dialog, STN).
  • Strong reference skills and understanding of medical terminology.
  • High attention to detail and accuracy.
  • Proficiency in managing multiple tasks and problem-solving skills.

Nice-to-haves

  • Experience with literature management software (EndNote, Reference Manager, QUOSA).
  • Familiarity with copyright rules and regulations applicable to paper and electronic document use and storage.
