About the position

The Executive Administrative Assistant II to the Director plays a crucial role in providing high-level administrative support to ensure the efficient functioning of the office of the Director. This position requires a proactive and detail-oriented professional who can maintain the highest level of confidentiality and discretion in handling sensitive information. The successful candidate will be responsible for managing executive calendars, coordinating meetings, handling communications, and ensuring the smooth operation of the director's office. This position works closely with the Senior Executive Administrative Assistant. The role involves assisting in planning, directing, and administering the activities of a department, division, or operation. The Executive Administrative Assistant II coordinates the efforts of divisions, units, and personnel to achieve objectives and performs confidential investigations on behalf of the department Director. The position also includes designing, directing, and administering studies, research, and special projects that address management concerns of a particular department, division, or operation. In addition, the Executive Administrative Assistant II monitors and reports on various operational aspects of the department at the request of the Director, prepares departmental budgets, schedules, analyses, reports, and financial statements for approval by the Department Director. The role requires analyzing departmental/program expenditures for compliance with authorized budgets and reviewing periodic financial reports and statements. The successful candidate will also develop, interpret, and implement departmental policies and procedures to improve efficiency, productivity, and operating economy for the work unit.

Responsibilities

  • Manage executive calendars and coordinate meetings for the Director.
  • Handle communications and ensure the smooth operation of the director's office.
  • Assist in planning, directing, and administering the activities of a department, division, or operation.
  • Coordinate the efforts of divisions, units, and personnel to achieve objectives.
  • Perform confidential investigations on behalf of the department Director.
  • Design, direct, and administer studies, research, and special projects addressing management concerns.
  • Monitor and report on various operational aspects of the department at the request of the Director.
  • Prepare departmental budgets, schedules, analyses, reports, and financial statements for approval.
  • Analyze departmental/program expenditures for compliance with authorized budgets.
  • Review and analyze periodic financial reports and statements.
  • Develop, interpret, and implement departmental policies and procedures to improve efficiency and productivity.
  • Represent the department or division on County committees, boards, and at various meetings.
  • Conduct various departmental meetings and ensure compliance with applicable regulations.
  • Research and write reports and memoranda.
  • Develop and maintain databases using commercial software to monitor and track information.

Requirements

  • 3 years of experience in management or administrative support roles.
  • Strong public speaking skills.
  • Proficient analysis skills.
  • Valid driver license required at time of application.

Nice-to-haves

  • Experience in public sector organization and administration.
  • Knowledge of public-sector budgeting and financial management.
  • Familiarity with research/analysis methodology and techniques.
