About the position

The University Program Associate position provides administrative support to the Executive Director and program support to the Center for Excellence in Teaching and Learning for Student Success at Appalachian State University. This role is essential for enhancing faculty and student success through effective management of internal processes, budget oversight, event coordination, and data organization.

Responsibilities

  • Creation and modification of internal processes for purchasing, travel, one-time pay contracts, and reservations/scheduling.
  • Submission of information collected through internal processes to institutional tools such as Chrome River, Docusign, PeopleAdmin, and Works (P-Card).
  • Managing the overall budget for CETLSS by reporting expenditures and allocation of funds and sources on a regular basis.
  • Event coordination, including securing space for events, ordering catering and supplies, preparing event materials, tracking attendance, and set-up/tear-down.
  • Collecting and organizing data, including program participation and evaluation data.
  • Greeting faculty and staff who arrive at the CETLSS space for meetings and programming.
  • Updating the CETLSS to reflect programming and services.
  • Coordinating the hiring, training, and supervision of student workers and monitoring their hours worked.

Requirements

  • Bachelor's degree or equivalent combination of training and experience.
  • Knowledge of policies, procedures, and precedents affecting program areas.
  • Operational knowledge of the program's organization including its mission, services, clients, and measures of business effectiveness.
  • Ability to assess needs and assure assistance is appropriate to the situation.
  • Ability to develop internal processes and prioritize workload.
  • Ability to reconcile and manage accounting records of moderate variety and complexity, including preparation of financial statements and reports.
  • Ability to develop and maintain productive and collaborative working relationships to facilitate effective service and problem resolution.

Nice-to-haves

  • Previous office experience or an equivalent combination of education and experience.
  • Exceptional verbal and written communication skills, organizational skills, and time management skills.
  • Proficiency in records management, verifying and reconciling financial data, and maintaining personnel and payroll records.
  • Familiarity with AppState tools such as Banner, Google Apps for Ed, Works (Pcard), Drupal, Chrome River, DocuSign, PeopleAdmin, and Yo-Mart.
