About the position

The Office Manager at DeBusk, LLC is responsible for overseeing the administrative operations of the company, including full cycle accounting tasks, payroll, accounts receivable, accounts payable, and employee benefits. This role requires a proactive individual who can manage various office functions, maintain organization, and support the team with a wide range of tasks. The Office Manager will ensure accurate financial reporting and compliance with record retention requirements while fostering a positive work environment.

Responsibilities

  • Manage the full cycle accounting relating to accounts payable (AP), accounts receivable (AR), payroll, T4's, bank reconciliations, GST remittances, and month-end close.
  • Prepare GST and deliver timely financial reporting, including month-end close, cash management reports, balance sheet reconciliation, and bank reconciliation.
  • Implement and manage client procurement programs and process credit applications and references.
  • Provide reporting for budgeting and forecasting and check the mailbox.
  • Maintain an organized file system and comply with record retention requirements.
  • Oversee facility management and equipment, monitor company insurance policies annually, and maintain corporate registration and business licenses.
  • Manage personnel file maintenance and employee benefits administration, answer and transfer incoming phone calls, and book and assign onboarding training.
  • Handle office and shop supplies procurement and liaise with office cleaners and a third-party HR/Safety provider.
  • Track and manage employee vacations and days off, and perform all other administrative and operations duties as they arise.

Requirements

  • Minimum 5 years of experience in a similar role.
  • Minimum 5 years of QuickBooks experience.
  • Experience with ADP Workforce Now and proficiency in Microsoft Office Suite and Adobe Acrobat.
  • Strong accounting skills and a valid driver's license with a clean driving record.
  • Ability to pass a criminal record check and sign a non-disclosure agreement.

Nice-to-haves

  • Accounting certification is preferred.
  • Bachelor's degree preferred but not required.
