About the position

The ABA Scheduler at Behavioral Momentum Services LLC is responsible for managing schedules for clients and therapists, ensuring minimal disruptions and effective communication between parents and staff. This entry-level position requires proactive engagement and the ability to handle scheduling changes efficiently while adhering to labor laws.

Responsibilities

  • Schedule sessions for multiple clients and therapists within given availability at least 1 week in advance.
  • Optimize client and therapist scheduling to ensure that the maximum number of client hours are being provided.
  • Ensure all employees are being scheduled in accordance with labor law guidelines.
  • Manage time off requests and adjust schedules as necessary for any approved time off.
  • Schedule meetings, trainings, and other events as necessary.
  • Input schedules into scheduling database accurately.
  • Coordinate day-to-day schedule changes due to call outs or cancellations.
  • Collaborate with supervisors on schedules and start dates for incoming clients.
  • Coordinate orientations and trainings for all incoming employees.
  • Maintain data for client/therapist locations and contact info.
  • Maintain calendar for meetings, trainings, or events.
  • Maintain up-to-date records of client attendance.
  • Use Homebase efficiently to send and reply to messages from staff.
  • Communicate to parents and staff schedule changes or cancellations for day, week, or month.
  • Utilize email to communicate with staff, supervisors, admin, and other paraprofessionals as necessary.
  • Greet visitors in office as necessary.
  • Filing and administrative tasks as needed.
  • Open and close the center as necessary.
  • Provide tours of centers and answer questions as necessary.
  • Assist Admin staff, site supervisors, and directors with various tasks as assigned.

Requirements

  • Some experience preferred.
  • Energetic and coachable person.
  • Must have a valid Driver's license and reliable vehicle with proof of auto insurance.
  • Must be willing to travel between different job sites within the Bakersfield/Wasco area.
  • Must pass background check.
  • Availability to work within hours of operation: 7am-7pm Mon-Friday and Sat 7am to 2pm.
  • Ability to accept constructive feedback.
  • Effective time management skills and ability to multitask.
  • Written and verbal communication skills.
  • Ability to maintain professional relationships with clients, co-workers, and supervisors.
