About the position

The Academic Affairs Budget Analyst at California State University, Monterey Bay (CSUMB) plays a crucial role in the financial and operational management of the Division of Academic Affairs. Under the supervision of the Academic Affairs Budget Officer, this position involves a variety of complex administrative and technical duties that are essential for the day-to-day operations of the division. The analyst is responsible for preparing, processing, and reviewing a wide range of documents, including budget transfers, requisitions, purchase orders, invoices, and payroll adjustments. This role requires a thorough understanding of CSU and campus accounting policies, as well as the ability to ensure compliance with applicable financial regulations and best practices. In addition to document management, the Academic Affairs Budget Analyst prepares complex financial reports and reconciliations, such as fund balance reports and payroll reconciliations. The analyst conducts data analysis using multiple campus databases to support strategic decision-making, ensuring that data is accurate and presented in a clear, structured manner. This includes developing pivot tables and customized reports, as well as creating data visualizations to effectively communicate insights to stakeholders. The position also involves monitoring expenses for the Office of the Provost and other non-academic departments, ensuring that expenditures remain within budget limits. The analyst reviews and audits the Academic Affairs Budget Tracker, providing support to academic college analysts as needed. Furthermore, the role includes updating the Academic Affairs Policy and Procedure Manual and assisting with the completion of business process guides. The analyst is expected to respond to inquiries in a timely manner and maintain organized communication channels within the office.

Responsibilities

  • Prepares, processes, and reviews budget documents, revenue and expense transfers, requisitions, purchase orders, and invoices.
  • Ensures proper application of CSU and campus accounting, budget, finance, and other applicable policies and best practices.
  • Prepares complex financial reports and reconciliations, such as periodic fund balance reports and payroll reconciliations.
  • Conducts data analysis utilizing multiple campus databases to support operational and strategic decision-making.
  • Extracts, organizes, and refines data to ensure accuracy and consistency, and develops pivot tables and customized reports.
  • Designs and creates data visualizations to effectively communicate insights.
  • Monitors expenses for the Office of the Provost and other non-academic departments within Academic Affairs.
  • Reviews, audits, and troubleshoots the Academic Affairs Budget Tracker and provides support to academic college analysts.
  • Audits business processes and recommends changes to increase efficiencies and effectiveness.
  • Updates the Academic Affairs Policy and Procedure Manual and assists college analysts with business process guides.

Requirements

  • Bachelor's degree in a relevant field or equivalent training and administrative work experience.
  • At least two years of administrative experience in a complex organization.
  • Demonstrated expertise in public and business administration principles, problems, and methods.
  • Advanced knowledge of operational and fiscal management principles.
  • Proficiency in Microsoft Office, especially Excel, and Google Apps, including intermediate skills in data validation and pivot tables.
  • Strong organizational skills and ability to multi-task in a fast-paced environment.

Nice-to-haves

  • Experience in higher education and familiarity with finance and accounting terminology.
  • Knowledge of budget and accounting concepts, practices, and processes.
  • Experience using PeopleSoft, Oracle, or other relational databases.
