About the position

The Academic Operations Manager plays a crucial role in supporting the academic unit by managing various operational tasks, ensuring compliance with university policies, and providing administrative support for faculty and student activities. This position requires independent judgment and a strong understanding of institutional guidelines to maintain the operational structure of the academic unit effectively.

Responsibilities

  • Enter, maintain, and update data in the Banner system for course scheduling of undergraduate and graduate courses.
  • Oversee budget monitoring, reporting, and assist in budget preparation through query management and report writing.
  • Purchase supplies, equipment, and tools using PCards and purchase orders.
  • Process all undergraduate and graduate student academic forms within the faculty approval process and submit completed forms to the Registrar's Office.
  • Collect, aggregate, and disseminate faculty activities, including work-plans and classroom observation reports.
  • Document, track, report, and ensure policy compliance of direct pays, personal reimbursements, and faculty/student travel.
  • Provide administrative support for accreditation and act as recording secretary for monthly faculty meetings.
  • Distribute general program information and conduct activities to support academic programs, including maintaining displays and bulletin boards.
  • Communicate compliance information regarding PSU and USNH policies and procedures.
  • Assist in updating, creating, and improving policies and procedures.
  • Facilitate contracts by collaborating with the cluster/discipline team and finance.
  • Oversee program/discipline grants, student awards, scholarships, and course fees.
  • Serve as the support liaison for scholarship management with the Office of Advancement and Financial Aid.
  • Support faculty in effective membership management of any Honor Society within the academic unit.
  • Create and control compliance for marketing outreach materials related to the academic unit.
  • Support web content management on the academic unit's SharePoint sites.
  • Act as an administrative liaison for project management within the program/discipline/university.
  • Manage events and conferences for the academic unit.
  • Supervise, recruit, and train student/supplemental staff, ensuring compliance with labor laws and university policies.

Requirements

  • High school graduation or equivalent.
  • 5 years of office experience or specialized training or higher education equivalent to 5 years.
  • Knowledge of office practices, procedures, and use of electronic equipment as required by the department.

Nice-to-haves

  • Experience in higher education administration.
  • Familiarity with budget management and financial reporting.
  • Strong communication and organizational skills.
