About the position

The Virtual Administrative Assistant at EfficientAide is responsible for providing comprehensive administrative support to clients, ensuring their needs are met through effective coordination and organization. This role emphasizes personalized service, adherence to EfficientAide's standards, and ongoing professional development within a team environment. The position requires residency in specific states (AZ, CA, CO, NM) and involves a variety of tasks tailored to each client's requirements.

Responsibilities

  • Processes client requests for assigned client areas, including general office and clerical tasks.
  • Complies with assigned hours and tasks for each client and tracks time accordingly.
  • Coordinates client travel, including conference registrations, hotel bookings, and transportation arrangements.
  • Maintains client calendars and keeps an updated client contact list.
  • Schedules meetings and ensures clients are informed of their schedules.
  • Performs billing for clients using applicable software as needed.
  • Conducts market research and provides reports to clients, including preparing customer spreadsheets and maintaining online records.
  • Updates CRM with timely information regarding pod member conversations and other pertinent details.
  • Provides excellent customer service as the first point of contact for clients.
  • Maintains regular contact with clients and EfficientAide team, checking emails three times a day and responding within 24 hours.
  • Learns new functions to support clients in communications and technology.
  • Seeks support from client support leaders when needed.
  • Alerts Pod leader of service issues to resolve them quickly and efficiently.
  • Attends biweekly Level10 meetings and participates in quarterly All Hands Meetings.
  • Engages in quarterly conversations with the Pod Leader for continuous improvement in skills and client satisfaction.
  • Performs other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • At least six months of office experience or performing administrative tasks.
  • Familiarity with current technologies, including desktop sharing and cloud services.
  • Proficiency in word-processing software and spreadsheets (e.g., MS Office).
  • Commitment to EfficientAide's service standards and core values, including 24-hour response times.
  • Knowledge of online calendars and scheduling software (e.g., Google Calendar).
  • Excellent phone and instant messaging communication skills.
  • Solid time management and organizational skills.
  • Ability to communicate with C-suite professionals and individuals at all levels of an organization.
  • Ability to efficiently self-manage multiple tasks in a fast-paced environment.

Benefits

  • Starting salary of $22-$25/hr, increasing by $5/hr upon successful completion of a 90-day trial period and first client pairing.
