About the position

The Administrative/Accounting Assistant at Guardian Energy Lima plays a crucial role in supporting the organization through various clerical and administrative functions. This position involves managing the reception area, handling accounts payable, and assisting with payroll and inventory reporting, ensuring smooth operations within the office.

Responsibilities

  • Oversee reception area; greeting guests, answering telephones, and routing visitors and/or calls to appropriate area or person.
  • Coordinate company events.
  • Read and route incoming mail.
  • Receive and organize vendor shipping documents.
  • Code accounts payable to correct accounts.
  • Prepare accounts payable documents for approval and payment.
  • Review invoices for correct sales and use tax.
  • Prepare outgoing mail and correspondence, including e-mail, Federal Express, and faxes.
  • Order and maintain office supplies, working with the defined budget.
  • Review and process bi-weekly payroll.
  • Complete daily inventory reports and generate daily shipment invoices.
  • Serve as backup for daily grain accounting duties.
  • Assist Scale house as needed.
  • Other duties as assigned.

Requirements

  • High school diploma required
  • 2-3 years receptionist or related experience required
  • Knowledge of Microsoft Word, Microsoft Excel and Microsoft Outlook required
  • Knowledge of general office equipment required

Nice-to-haves

  • Two-year degree preferred
  • Accounting and grain background a plus
