About the position

The Accounting Administrator is responsible for coordinating accounting administration and operational functions, including compiling information between the job tracking system and the corporate accounting system. This role supports regional office needs, such as monthly performance reports and financial analysis, while collaborating with the Regional Accounting Manager and handling tasks related to accounts payable and receivable. The position also involves operational support, including shipping/receiving activities and assisting with new hire paperwork.

Responsibilities

  • Process vendor invoices accurately and submit to Corporate AP for timely remittance.
  • Perform reconciliation and retention of employee credit card transactions and related documentation.
  • Obtain necessary information for new vendor set-up and credit requests.
  • Collect applications for credit from new customers and submit to Corporate AR for credit determination.
  • Perform accurate data entry into accounting systems to track purchased materials and services.
  • Identify discrepancies and communicate issues with internal and external managers.
  • Create purchase orders for job-related materials and services as requested by management.
  • Code vendor purchase orders with appropriate GL account/location and note adjustments.
  • Track and resolve open purchase orders, complying with purchasing policies.
  • Review AR aging to ensure compliance and initiate collection efforts as required.
  • Maintain accounts receivable customer files and related records.
  • Correctly process and timely deliver customer invoices, retaining customer files and invoice information.
  • Assist with month-end closing responsibilities and meet all deadlines.
  • Handle cash receipts according to policy, including merchant processing of AR credit cards.
  • Assist with ordering office, janitorial, and kitchen supplies.
  • Perform front office reception duties, including greeting visitors and handling phone calls.
  • Perform general clerical duties such as copying, scanning, and filing.

Requirements

  • High school diploma or equivalent.
  • Associate degree or higher in accounting, business, finance, or similar highly preferred.
  • Minimum two years' experience in office accounting (AR, AP, bookkeeping) preferred.
  • Minimum two years recent experience with accounting software preferred.
  • Good to excellent knowledge of Microsoft Office Suite, including Word, Outlook, and PowerPoint.
  • Advanced Excel and data entry skills with excellent typing speed and accuracy.
  • Understanding of insurance as it relates to vendors, 1099 compliance, and independent contractor requirements.
  • Excellent written and oral communication and interpersonal skills.
  • Excellent organizational and prioritization skills; detail-oriented and efficient in time management.
  • Ability to maintain discretion and confidentiality of sensitive information.
  • Exceptional problem-solving skills and ability to work under deadlines.

Nice-to-haves

  • Experience with accounting software is preferred but not required.
  • Knowledge of insurance compliance and independent contractor requirements.
